The problem
From October to Christmas a small warehouse doubles its team with temps and extra shifts. The rota lives in a spreadsheet and a WhatsApp group, and every change means a round of messages. If the manager spends 3 hours a week building the rota and 2 hours on swaps and gaps, that's 5 hours a week, about 21.5 hours a month in peak.
What the AI does
RotaCloud is rota software. Its site lists drag-and-drop rota planning, templates, free mobile apps, staff availability patterns, shift swapping, holiday management and labor cost reports. Staff, including temps, enter when they can work, ask for swaps in the app, and you approve changes and publish the week. Pricing is by number of employees including you, so a team of 18 in peak sits in the 11 to 20 band.
A worked example
A fulfillment warehouse in Northampton with 9 permanent staff that adds about 9 temps from October to December, running early and late shifts.
Before
About 5 hours a week on the rota and changes in peak: about 21.5 hours a month
After
About 1.5 hours a week to publish the rota and approve swaps: about 6.5 hours a month
What it's worth
About $499£375€446A$720C$705 a month saved in peak, against $53£40€48A$77C$75 to $80£60€71A$115C$113 for RotaCloud. That's 15 hours a month (3.5 hours a week x 4.3) at an assumed $33£25€30A$48C$47 an hour. RotaCloud prices by employee band: for 11 to 20 people, Standard is $53£40€48A$77C$75 a month and Pro $80£60€71A$115C$113. Outside peak, a team of 9 falls into the 6 to 10 band at $27£20€24A$38C$38 on Standard, and the saving is smaller.
How to set it up
- Start RotaCloud's 30-day free trial in September, before temps arrive.
- Set up shift templates for early, late and weekend shifts, with how many people each needs.
- Invite permanent staff first, then each temp on their first day, and ask everyone to enter their availability.
- Publish the rota a week ahead and handle swaps and holiday requests in the app only.
- Use the labor cost report weekly in peak to check hours against orders shipped.
What goes wrong
- Agency temps may be booked through the agency, not you. Agree whether they use your app or the agency's system.
- Pricing counts everyone, including you and managers, and moves up a band as temps join; remove leavers promptly.
- A rota app doesn't check working time rules or rest breaks for you. Keep an eye on back-to-back shifts in peak.
- Optional SMS notifications cost extra; the free app notifications are usually enough.
