The problem
Month end at a small fulfillment warehouse means two days with spreadsheets: pallets stored, orders picked, extra items, returns processed, rework. Charges slip through: if 100 returns a month at $4£3€4A$6C$6 handling never make it onto an invoice, that's $399£300€357A$576C$564 a month of work done for free, on top of about 16 hours of billing.
What the AI does
Mintsoft is warehouse management software for warehouses and 3PLs. Its 3PL plans list client billing and a client portal; its 3PL page says you set chargeable rates per client for storage, handling, picking, rework, shipping and returns, and raise client invoices from the activities completed in Mintsoft, with accounting integrations for Xero, QuickBooks and Sage. Because picks, packs and returns are recorded as the work happens, the month-end invoice is a check, not a rebuild.
A worked example
A fulfillment warehouse in Daventry with 8 e-commerce clients and about 2,500 orders a month, currently running stock and orders across client spreadsheets and courier websites.
Before
About 16 hours of month-end billing, with around 100 returns a month ($399£300€357A$576C$564) not billed
After
About 3 hours a month checking invoices raised from recorded activity, with returns charged as they're processed
What it's worth
About $831£625€744A$1,200C$1,175 a month recovered and saved, against $499£375€446A$720C$705 for Mintsoft's 3PL Starter plan. The $399£300€357A$576C$564 of returns handling is work already done, so it is counted in full rather than as profit. The other $432£325€387A$624C$611 is 13 hours of billing time (16 minus 3) at an assumed $33£25€30A$48C$47 an hour. Starter covers 3,000 orders and 10 clients; the mobile app needs user licenses the page doesn't price, and the plan also replaces your spreadsheets as the warehouse system.
How to set it up
- Write down every client's rate card: storage per pallet or bin, per order, per extra item, returns, rework and any minimums.
- Ask Mintsoft for a demo using one real client's month, and get mobile app license prices in writing.
- Set up each client's rates in Mintsoft and connect your accounting software.
- Run one month of billing in parallel with your spreadsheet and compare every client's total.
- From then on, check each invoice against the activity report before it goes out.
What goes wrong
- Billing is only as good as the recording. If returns aren't booked in on the system when they arrive, they still won't be charged.
- The page says 'from $499£375€446A$720C$705' and doesn't price mobile app licenses, so get a full quote for your user count.
- Clients will question new charges they were never billed before. Send each client their rate card before the first invoice that includes them.
- Moving a live warehouse to new software takes weeks of setup. Avoid starting just before peak.
