Shipping rules for fulfillment warehouses: right label first

ShipStation's automation rules pick the courier service for each client's orders, so packers stop choosing by hand. From about $120£90€107A$173C$169 a month.

The problem

Each client has its own rules: next day for one, tracked 48 for another, a pallet carrier above 30kg. Packers check a sheet on the wall and pick the service by hand. At 2,000 shipments a month and 30 seconds of checking and choosing each, that's 1,000 minutes, about 16.7 hours a month, and the odd parcel sent on the wrong, dearer service.

What the AI does

ShipStation is shipping software that pulls orders in from online shops and marketplaces. Its UK pricing page lists label automation rules and preconfigured rate shopping from the Starter plan, with unlimited store connections; Standard adds unlimited automation rule types, branded tracking emails and 10 users. You set rules once per client, such as by weight, destination or the shipping option the shopper chose, and orders arrive with the service already picked. Packers just pack, print and scan.

A worked example

A fulfillment warehouse in Wigan ships about 2,000 parcels a month for 6 online shops, with 4 packers and a supervisor who all need logins.

Before

About 30 seconds a parcel choosing the service by hand: 1,000 minutes, about 16.7 hours a month

After

Services chosen by rules on all 2,000 parcels; packers only check exceptions

What it's worth

About $333£250€298A$480C$470 a month saved in packer time, against $120£90€107A$173C$169 to $173£130€155A$250C$244 for ShipStation. That's about 16.7 hours at an assumed $20£15€18A$29C$28 an hour. At 2,000 shipments a month, Starter is $120£90€107A$173C$169 and Standard $173£130€155A$250C$244 billed monthly; Starter includes 3 users, so a team of 5 needs Standard. Annual billing saves 20%. Postage isn't included.

How to set it up

  1. Write down each client's shipping rules: services by weight, size, destination and the option the shopper paid for.
  2. Start ShipStation, connect each client's shop and your courier accounts.
  3. Set up automation rules client by client and test them on a day's orders before going live.
  4. Ask packers to flag any label that looks wrong, and fix the rule rather than the parcel.
  5. Review courier charges at month end to catch services the rules picked wrongly.

What goes wrong

  • A wrong rule sends hundreds of parcels on the wrong service before anyone notices. Check a sample of labels every day for the first fortnight.
  • Starter only includes 3 users and can't buy more; most warehouses with several packers will need Standard.
  • The page shows '+$0£0€0A$0C$00 per label' and doesn't say whether prices include VAT, so check the final bill.
  • Clients change their shipping options. Make it part of client onboarding to tell you before they do.
