The problem
Invoices from the turf farm, the nursery, the builders' merchant and the skip firm pile up in the van and get typed in on a Sunday, if at all. Without them on the job, you can't see what a job really cost. Fifty supplier invoices a month at 4 minutes each to type is over 3 hours a month.
What the AI does
Tradify's SmartRead, part of the SmartTools on the Plus plan, creates a draft bill from a PDF or photo of a supplier invoice. You take a photo on your phone or upload the PDF, check the draft against the invoice and approve it against the job. Tradify's help pages warn the read-in details can differ from the document, so the check matters.
A worked example
A landscaping firm in Harrogate with two partners on Tradify handles about 50 supplier invoices a month. They upgrade both users from Pro to Plus and photograph every invoice when it arrives.
Before
50 invoices typed in at about 4 minutes each, 200 minutes a month
After
50 photographed and checked at about 1 minute each, 50 minutes a month
What it's worth
About $100£75€89A$144C$141 a month in time saved, from 2.5 hours a month less typing at an assumed $40£30€36A$58C$56 an hour. For a firm already on Pro, the upgrade to Plus is $9£7€8A$13C$13 per user, $19£14€17A$27C$26 a month for two, so it pays back easily; bought for this alone, two Plus users at $117£88€105A$169C$165 a month would cost more than it saves.
How to set it up
- Move to Tradify Plus ($59£44€52A$84C$83 per user a month), the only standard plan with SmartTools.
- Photograph each supplier invoice when it arrives, or upload the PDF from your email.
- Check every line of the draft bill against the invoice, especially totals and VAT, before approving.
- Put each bill against the job it belongs to, so job costs are up to date.
- Check whether your main merchants are among the suppliers Tradify can import bills from directly.
What goes wrong
- SmartRead is on Plus only. Pro and Lite users would need to upgrade, and it's priced per user.
- The read-in details can be wrong. Approving drafts without checking puts wrong costs on jobs.
- Receipts that are crumpled or faded read badly. Photograph them flat and in good light, the same day.
