The problem
Each booking needs a calendar block on every other site and several messages. If a 6-room B&B takes 60 bookings a month and each needs 4 minutes updating the other site and diary plus 8 minutes sending confirmation and arrival details, that's 12 minutes x 60 = 720 minutes, 12 hours a month.
What the AI does
Beds24 is a channel manager and property management system for hotels, B&Bs, guest houses and holiday lets. Its site lists a central inbox for Airbnb and Booking.com, automated messaging with guests, a commission-free booking engine for your own website and a mobile-friendly booking page. You connect each booking channel, enter rooms and prices, and write your confirmation and arrival messages once. The page doesn't say how often calendars sync or which message triggers exist, so test both in the free trial. Prices are euros, pay as you go, no commission or contract.
A worked example
A 6-room B&B in Whitby with 3 room types (double, twin, family) lists on Booking.com and Airbnb and takes about 60 bookings a month. The owner connects both, writes the messages once and checks the calendar each morning.
Before
12 minutes per booking (4 on calendars, 8 on messages): 720 minutes, 12 hours a month
After
About 3 minutes per booking checking messages and calendars: 180 minutes, 3 hours a month
What it's worth
About 9 hours a month saved (540 minutes), worth around £135 if your time is worth £15 an hour. From Beds24's price calculator (confirm for your set-up), €12.90 base + 6 rooms x €2.60 + 3 room types x 2 channels x €0.55 = €31.80 (about £27) a month; 60 SMS booking notifications at €0.10 add €6 (about £5). Beds24 charges no commission; Booking.com and Airbnb have their own.
How to set it up
- Start the free trial and add your rooms and room types.
- Connect each channel as Beds24 instructs, and make one test booking to check it appears everywhere.
- Write your confirmation and arrival messages once, using only facts you've checked, and read one as a guest would.
- Ask guests in the confirmation message to tell you about dietary needs and allergies before arrival, and plan to speak to them.
- Check the calendar and the day's arrivals each morning against the booking sites.
What goes wrong
- Calendar sync can lag or fail, and the page gives no frequency. Test it before you rely on it, as a double booking is costly.
- Beds24 prices by rooms and channel links, so more room types or channels raise the bill. Use its calculator for your set-up.
- Guest names, phone numbers and arrival times are personal data under UK GDPR. Limit who can see them.
- Booking.com and Airbnb have their own messaging and calendar rules. Don't assume Beds24 does everything on them.
