The problem
Hot tubs at holiday accommodation need a legionella risk assessment, regular water testing and records, and paper log sheets by each tub get wet, missed or filled in later. If the owner spends 45 minutes a week collecting sheets, chasing gaps and filing them, that's about 194 minutes, 3.2 hours a month.
What the AI does
Mitti, until recently sold as SafetyCulture, is a checklist and inspection app. Its pricing page lists a Free plan for up to 10 seats with 5 active inspection templates, tasks and issue reporting, and PDF and web reports. Build templates from your own risk assessment and the HSE's guidance on spa pools (HSG282): a water test with fields for each reading your assessment requires, a changeover drain and clean, and a weekly check. Staff complete them on their phone at the tub with a photo of the test strip or meter, and anything out of range becomes an issue for you to act on. The app records results; your test kit and trained staff produce them.
A worked example
A glamping site in North Yorkshire has 4 hot tubs, the owner and 2 cleaners. Each test and changeover is logged in Mitti on their phones, and the owner reviews the week's reports on Monday.
Before
45 minutes a week collecting, chasing and filing paper logs: about 194 minutes, 3.2 hours a month
After
About 10 minutes a week reviewing reports and acting on issues: about 43 minutes a month
What it's worth
About $53£40€48A$77C$75 a month saved, at no cost on the Free plan. That's 2.5 hours (194 minus 43 = 151 minutes) at an assumed $21£16€19A$31C$30 an hour. The Free plan covers up to 10 seats and 5 active templates; Premium is $24 (about $24£18€21A$35C$34) a seat a month billed annually. Prices are shown in dollars.
How to set it up
- Have your legionella risk assessment for the hot tubs done or reviewed by a competent person, and read the HSE's guidance on spa pools (HSG282).
- Build a water test template with a field for each reading and frequency your assessment sets, with a required photo.
- Add templates for changeover drain and clean, and for the weekly checks the assessment requires.
- Give seats to the people who test and clean, and show them what counts as out of range and who to call.
- Review reports every week, close every issue, and export the records to your own files.
What goes wrong
- The app doesn't make the tub safe. The risk assessment, the test kit and trained people do; the app only keeps the record.
- If a reading is out of range, close the tub until it's right. Make sure staff know that and don't just log it.
- The Free plan stops at 10 seats and 5 active templates, and you should check how long it keeps records. Export regularly.
- Poor signal in a field means logs entered later. Test the app at each tub before dropping paper.
