The problem
A café with part-timers and students changes its rota every week as availability shifts, and the changes arrive as texts at all hours. If you spend 90 minutes a week building the rota plus 8 availability and swap messages at 5 minutes each, that's 130 minutes a week, about 559 minutes or 9.3 hours a month (x 4.3).
What the AI does
RotaCloud is rota software. Its site lists drag-and-drop rota planning, templates, free mobile apps, staff availability patterns, shift swapping and holiday management on its Standard plan, with email and push notifications to staff. Staff enter when they can't work, ask for swaps in the app, and you approve changes and publish the week. Pricing is by number of employees including you, so a café of 7 sits in the 6 to 10 band.
A worked example
A 30-seat café in Leeds employs 7 people, mostly students and part-timers. The manager builds the week from a template on Thursday and approves swaps in the app.
Before
Rota build 90 minutes plus 8 messages x 5 minutes = 130 minutes a week, about 559 minutes or 9.3 hours a month
After
Rota build 45 minutes plus 8 swaps x 1.5 minutes = 57 minutes a week, about 245 minutes or 4.1 hours a month
What it's worth
About 5.2 hours a month saved (314 minutes), worth around £78 if your time is worth £15 an hour. Standard for 6 to 10 employees is £20 a month; optional text notifications for that band add £4, so £24 at most. Yearly billing is cheaper; check the page. The band prices come from RotaCloud's team-size selector and are indicative; check the price for your headcount on RotaCloud's pricing page. The page gives no unit for the text notification add-on, so check that too.
How to set it up
- Start the 30-day free trial and add everyone, including yourself.
- Ask each part-timer to enter their usual availability and term-time days off.
- Build the week from last week's template and check each opening and closing shift has someone trained for it.
- Switch on shift swapping, and tell staff swaps count only once you approve them.
- Publish by the same day each week and tell staff the app is the final rota.
What goes wrong
- Pricing is by headcount: the 6 to 10 band is £20, but an 11th person moves you to £40 a month. Check the band price for your team size on RotaCloud's pricing page before you commit.
- Students change availability at exam time. Ask for updates termly, or the rota quietly goes wrong.
- Mobile numbers and availability are personal data under UK GDPR. Share only what staff need and remove leavers.
- The page doesn't say it checks rest breaks or the hours of under-18s, so you still do that.
