The problem
Posting daily about specials and events is what keeps regulars coming in, but it gets squeezed out by service. If you post 5 times a week, about 22 a month, and each takes 12 minutes to think of and write, that's 264 minutes, about 4.4 hours a month.
What the AI does
On Sunday, type the week's specials, events, opening hours and any news into ChatGPT, Claude or Gemini and ask for five short posts in your café's voice, with a line for each platform if you want. You edit each one, check the facts and post or schedule them yourself. The assistant words only what you give it: list the dish names, prices and times yourself. Don't let it describe a dish as vegan, gluten-free, nut-free or similar. Any such claim comes from your verified recipe and supplier records and a trained person.
A worked example
A café in Edinburgh posts five times a week on Instagram and Facebook. The owner writes bullet points for the week on Sunday evening and has drafts back in a few minutes.
Before
12 minutes per post to think and write: about 22 x 12 = 264 minutes, about 4.4 hours a month
After
About 5 minutes per post to review and edit: 110 minutes, about 1.8 hours a month
What it's worth
About 2.6 hours a month saved (154 minutes), worth around £51 if your time is worth £20 an hour. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is up to about £20 a month for one person if you hit usage limits.
How to set it up
- Each Sunday, list the week's specials with exact names and prices, events, and opening hours.
- Paste the list into ChatGPT, Claude or Gemini and ask for five short posts in your usual voice, using only what you gave it.
- Read each post and delete anything that wasn't in your list, such as a made-up fact, a free item or a claim about ingredients.
- Add your own photo, and post or schedule from your own account.
- Check comments for questions about ingredients and allergies and reply personally, not through an assistant.
What goes wrong
- An assistant can invent details such as a new menu item, or praise an ingredient you don't use. You check every line.
- Claims like 'vegan', 'gluten-free' or 'nut-free' must be true from your records, and staff must be able to back them up. Leave them out unless you've verified them.
- Don't paste staff or customer names, phone numbers or photos of identifiable customers into consumer AI plans.
- If you reuse offers or discounts, check they match what the till actually does.
