The problem
Parent emails never stop: can she move to Saturdays, can he swap into his brother's class, the family is away for two weeks. A swim school with 300 swimmers might get 25 a week, and reading each thread and writing a careful reply takes about 6 minutes: 2.5 hours a week, nearly 11 hours a month.
What the AI does
Gemini in Gmail works in a side panel next to the email. Open a parent's message, click Ask Gemini and ask what the parent wants in one line. Check your class list, then ask Gemini to draft a reply with the facts you give it, such as which class has space and from when. You read it, correct anything and send it yourself. Because it runs inside a business Workspace account, children's and parents' details don't go into a personal AI app. Gemini in Gmail comes with Google Workspace Business Starter (about $8£6€7A$12C$11 per user a month).
A worked example
A swim school in Reading teaches about 300 children across 3 pools. The owner and the office manager each have a Workspace account and use Gemini in Gmail for parent emails.
Before
About 25 parent emails a week at 6 minutes each: 2.5 hours a week
After
About 3 minutes each with Gemini's summary and draft: 1.25 hours a week
What it's worth
About $157£118€140A$227C$222 a month in time saved, against about $16£12€14A$23C$23 for 2 Workspace Business Starter users. Replies drop from 2.5 to 1.25 hours a week, and 75 minutes times 4.3 is about 5.4 hours a month at an assumed $29£22€26A$42C$41 an hour.
How to set it up
- Use Google Workspace Business Starter (€6.80, about $8£6€7A$12C$11 per user a month on a one-year commitment) for the school's email: about $16£12€14A$23C$23 a month for 2 users.
- Keep your standard answers (term dates, make-up lesson rules, kit) in one short document so every reply says the same thing.
- Open a parent's email, click Ask Gemini and ask it to sum up what the parent wants in one line.
- Check the class list, then ask Gemini to draft a reply with the facts, for example: 'Yes, Saturday 9.30 Stage 3 has a space from 10 January.'
- Read the draft, fix anything wrong and send it yourself.
What goes wrong
- Gemini doesn't see your booking system, so it can't know whether a class has space. Check first and give it the answer.
- Keep medical and additional-needs details out of drafts and requests; they belong in your booking or records system.
- Children's and parents' details are personal data under UK GDPR. Google says it doesn't use customers' Workspace data to train its generative AI; personal Google AI plans are on consumer terms.
- Business Starter covers Gemini in Gmail only. Each extra staff account adds about $8£6€7A$12C$11 a month.
