The problem
New parents phone or message to ask which class their child belongs in, and each ends in several calls. If 20 enquiries a month each take 8 minutes of phone tag, that's 160 minutes, about 2.7 hours.
What the AI does
Calendly's pricing page shows a free plan with one event type and one calendar connection. Create one event type, 'Swim assessment', with the length of your assessment slot, and connect the calendar you use for the pool timetable. Parents choose a free slot. At the assessment, a qualified teacher sees the child in the water and places them in a class. Ask for as little as you need to book: the parent's name, email and phone, and the child's first name and age. Don't ask for medical details in the booking; the teacher asks the parent in person. Standard adds automations and reminders, and takes payment through Stripe or PayPal.
A worked example
A swim school in Cambridge gets about 20 new-swimmer enquiries a month and arranges each assessment by phone.
Before
20 enquiries a month at 8 minutes of phone tag: 160 minutes, about 2.7 hours
After
Send the link in 3 minutes each: 60 minutes, 1 hour
What it's worth
About 1.7 hours a month saved (100 minutes), worth about £33 at £20 an hour. The Free plan costs nothing. Standard is $10 (about £8) a seat a month billed yearly on Calendly's page, and costs more billed monthly, if you want reminders or payment at booking.
How to set it up
- Create a Calendly account and connect the calendar that shows when pool time and teachers are free.
- Make one event type, 'Swim assessment', with your slot length and the poolside address.
- Add a line saying a parent or carer must stay for the assessment, if that is your policy.
- Make a test booking and read what a parent sees.
- On the day, the teacher confirms the child's level and class poolside.
What goes wrong
- The free plan has one event type and no reminders, so no-shows are not reduced; Standard adds reminders.
- You are collecting a child's name and age. Keep it minimal and say how you use it.
- Don't put medical or safeguarding questions on the booking page; handle them in person and in your joining forms.
- The assessment decision belongs to a qualified teacher poolside, not to the booking tool.
