The problem

Parents ask the same questions every week: what to bring, when to arrive, who can watch, what happens if a lesson is missed. If 30 questions a month take 4 minutes each, that's 120 minutes, 2 hours.

What the AI does

Write down the real answers from your own policies: arrival times, kit, spectator rules, make-up lessons, late collection, closures. Paste them, with no children's details, into ChatGPT, Claude or Gemini and ask for a clear parent FAQ and handbook. Check every line against your pool operating procedures and safeguarding policy. The designated safeguarding lead owns safeguarding, changing-room, photography and supervision rules, using your governing body's guidance; the assistant only helps with wording. Poolside safety decisions stay with qualified staff.

A worked example

A swim school in Leicester with 150 swimmers fields about 30 parent questions a month by phone and message, about 4 minutes each.

Before

30 questions a month at 4 minutes: 120 minutes, 2 hours

After

If a clear FAQ cuts questions to 10: 40 minutes, about 0.7 hours

What it's worth

About 1.3 hours a month saved (80 minutes), worth about £27 at £20 an hour, if the FAQ cuts questions from 30 to 10 (an assumption). Free plans can do this job, so £0 is realistic; a paid plan is about £15 to £20 a month for one person.

How to set it up

  1. List the questions parents ask most, with the true answers from your own policies.
  2. Paste the answers, with no children's details, into ChatGPT, Claude or Gemini and ask for a plain-English parent FAQ.
  3. Check every rule against your pool operating procedures and safeguarding policy.
  4. Have the safeguarding lead approve anything about changing rooms, photography and supervision.
  5. Send the FAQ to parents and put it on your website.

What goes wrong

  • The assistant can invent rules. A wrong rule about supervision or photography is a safeguarding risk; check every line.
  • Never paste children's names, photos, medical details or incident reports into a consumer assistant.
  • Policies are owned by people. DBS checks and safeguarding decisions are not for AI.
  • Keep the handbook in step with your policies; an out-of-date handbook is worse than none.
