The problem
A small farm with a Sustainable Farming Incentive agreement has dates it can't miss. GOV.UK says agreement holders must make an annual declaration to the Rural Payments Agency for each year of the agreement, and some agreements must report where rotational actions are after the first year. Add Countryside Stewardship claims and grant deadlines and a mixed farm may have 6 scheme dates a year, each landing in a busy season and held on a kitchen calendar or in one person's head.
What the AI does
The dates come from the Rural Payments service and your agreement documents, and are copied by hand into the farm's main diary, here a dedicated 'Scheme deadlines' Google Calendar, with a second person checking each entry. Zapier is only the backup. Its Google Calendar 'Event Start' trigger fires a set amount of time before an event starts, and a Gmail step emails the owner and whoever does the paperwork. Set one Zap with a 14-day lead and a second with a 3-day lead; each is a two-step Zap, which Zapier's free plan allows.
A worked example
A 150-hectare mixed farm in Shropshire holds an SFI agreement and a Countryside Stewardship agreement. The owner's partner does the farm paperwork and keeps the RPA dates in a separate Google Calendar, entered from the agreement letters and checked by the owner.
Before
6 scheme dates a year on a kitchen calendar and in one person's memory
After
6 dates a year in a shared calendar, each with an email 14 days and 3 days ahead to two people: 12 backup emails a year
What it's worth
This is a backup against a missed scheme date rather than a money saving, so no value is put on it. It costs nothing on Zapier's free plan: 6 dates with 2 reminders each is 12 tasks a year, against an allowance of 100 tasks a month.
How to set it up
- Copy each date from your agreement documents and the Rural Payments service into a dedicated 'Scheme deadlines' calendar, with the agreement reference in the event title.
- Have a second person check every date against the source document; the calendar and the RPA service are the record, and the automation only backs them up.
- In Zapier, create a Zap with the Google Calendar 'Event Start' trigger on that calendar, a 14-day lead and a Gmail step that emails both of you.
- Copy the Zap with a 3-day lead, then add a test event a few days ahead and check both emails arrive.
- On the first of each month, check in Zapier that both Zaps are on and ran when expected, and read the calendar for the next 3 months.
What goes wrong
- Automations can fail silently: a disconnected Google account or a Zap switched off stops the emails with no warning. The monthly check and the calendar itself are what protect you.
- Zapier only knows the dates you type in. If the RPA changes a date or opens a new window, nothing updates; keep checking the Rural Payments service and the GOV.UK scheme pages.
- The free plan checks for new data every 15 minutes and only allows two-step Zaps. Adding a text message or a filter needs Pro, from $19.99 (about $20£15€18A$29C$28) a month billed annually.
- Reminder emails land in busy inboxes. Use a clear subject such as 'SFI annual declaration due in 14 days' and send to an address you read daily.
