The problem
Farm paperwork piles up in the pickup and on the kitchen table: feed and fertilizer invoices, fuel receipts, vet bills, mart statements and contractors' invoices. A farm with 80 documents a month that spends 3 minutes finding, sorting and typing each into Xero, plus 2 hours hunting for missing ones before each quarterly VAT return, spends 240 minutes a month plus 2 hours a quarter, about 4.7 hours a month on average.
What the AI does
Dext is bookkeeping software. It captures receipts and supplier invoices from a phone, email or WhatsApp, reads the details and sends them to accounting software such as Xero for you to approve. Photograph a fuel receipt in the cab or a vet invoice at the yard gate, forward the merchant's emailed invoices to your Dext address, and set rules so each regular supplier lands on the right cost code. Once a week, check what it read and approve it into Xero, so the VAT return isn't a hunt through the pickup.
A worked example
A 120-hectare beef and arable farm in Lincolnshire, run by a couple with one employee, files VAT quarterly from Xero Grow, which it already pays for. About 80 invoices and receipts a month come from the feed merchant, agronomist, fuel supplier, vet and mart.
Before
80 documents at 3 minutes each, plus 2 hours a quarter hunting for missing ones: about 4.7 hours a month
After
Each document photographed or forwarded on the day and checked in about 1 minute: 80 minutes, about 1.3 hours a month
What it's worth
About $113£85€101A$163C$160 a month saved, against Dext at about $32£24€29A$46C$45 to $40£30€36A$58C$56. That is 3.4 hours a month (4.7 hours down to 1.3) at an assumed $33£25€30A$48C$47 an hour. Dext's default of 250 documents and 5 users is $32.15£24.17€28.76A$46.41C$45.44 a month excluding VAT, billed annually; monthly billing costs more, estimated at about $40£30€36A$58C$56. Xero Grow at $52£39€46A$75C$73 is already paid here; Xero Ignite allows only 10 bills a month, too few for this farm.
How to set it up
- Agree with your accountant that documents will go through Dext, and which Xero accounts feed, fertilizer, fuel, vet and contractor costs should use.
- Start a Dext trial, connect it to Xero and set rules for regular suppliers such as the feed merchant and the vet.
- Keep the app on the phone in the cab and photograph receipts the day you get them; forward emailed invoices to your Dext address.
- Once a week, check what Dext read against the paper, especially the VAT, and approve into Xero.
- Keep vet medicine invoices with your medicine records as well, if your farm assurance scheme expects to see them.
What goes wrong
- Xero says smart document capture is included on all its plans. Try that first and pay for Dext only if it saves real time.
- Feed, fertilizer and fuel may not carry the same VAT treatment. Ask your accountant how to code them rather than trusting an automatic category.
- Dext is priced by documents and users. Past 250 documents a month, at harvest or when cattle are sold, you may need a higher band.
- Dext can misread a smudged docket. Check amounts and dates before you approve.
