The problem
Bread, salad, soft fruit and dairy from local producers have a short life, and a farm shop that orders the same every day bins the difference on quiet days. Throwing away about $80£60€71A$115C$113 a week of perishables at cost is about $343£258€307A$495C$485 a month.
What the AI does
Export 8 weeks of item sales by day from your till and list what each producer delivered on each day. Paste both into Google Sheets, click Ask Gemini and ask for a pivot table of units delivered, sold and left over by line and weekday, with a chart. Google says Gemini in Sheets can create tables, formulas, pivot tables and charts. You then set a standing order per weekday with each producer. On a business account it needs Google Workspace Business Standard (about $16£12€14A$23C$23 per user a month).
A worked example
A farm shop near Ludlow takes daily deliveries of bread, salad and milk from 6 local producers. The manager pastes 8 weeks of till sales and delivery notes into a Google Sheet and asks Gemini for leftovers by weekday.
Before
About $80£60€71A$115C$113 a week of perishables binned at cost, about $343£258€307A$495C$485 a month
After
Standing orders set by weekday, waste down by a third to about $229£172€205A$330C$323 a month
What it's worth
About $114£86€102A$165C$162 a month less waste, against about $16£12€14A$23C$23 for Workspace Business Standard. Cutting $343£258€307A$495C$485 a month of binned perishables by a third saves about $114£86€102A$165C$162 for about an hour a month of exporting and checking.
How to set it up
- Use Google Workspace Business Standard (€13.60, about $16£12€14A$23C$23 per user a month on a one-year commitment) for the manager's account.
- Export 8 weeks of item sales by day from your till, and list deliveries by line and day from producers' delivery notes.
- Paste both into a Google Sheet, click Ask Gemini and ask: 'Make a pivot table of units delivered, sold and left over by line and weekday, and chart the 10 lines with most left over.'
- Check two lines by hand against the till and the delivery notes.
- Agree a standing order per weekday with each producer, and run the check again after a month.
What goes wrong
- Sales show what sold, not what people wanted. If a line sold out by noon, demand was higher; note sell-out times for a fortnight.
- Weather, school holidays and local events move sales. Keep a small top-up arrangement with producers for busy weekends.
- If Gemini builds a formula wrongly, every order is wrong the same way. Check a sample by hand.
- Business Starter (about $8£6€7A$12C$11) doesn't include Gemini in Sheets. On a personal Google account, Google AI Pro ($25.26£18.99€22.60A$36.46C$35.70 a month) does.
