The problem
Farm shops selling meat boxes by phone and Facebook message lose track: orders are written on a pad, half get changed, and some boxes are never collected. A shop taking 40 box orders a month by phone at 6 minutes each spends 4 hours a month on it, and if 3 boxes a month at $60£45€54A$86C$85 are left uncollected and unpaid, that's $180£135€161A$259C$254 of meat to sell off.
What the AI does
Shopify is an online shop platform. Its help center explains pickup in store: you turn on pickup for the shop's location, set a processing time customers see at checkout, write pickup instructions, and when you mark an order ready a 'Ready for pickup' email goes to the customer. Customers pay when they order, so an uncollected box is already paid for. List each box with its contents and weights, put the weekly order cut-off in the description, and make up boxes from the order list. Shopify's UK pricing page lists Basic at $33£25€30A$48C$47 a month, or $25£19€23A$36C$36 billed yearly, with card fees of 2% + 25p online.
A worked example
A farm shop in Northumberland with its own beef and lamb sells about 40 meat boxes a month at an average of $60£45€54A$86C$85 mostly by phone and Facebook message. The owner moves box sales to a Shopify shop with collection from the farm shop on Fridays and Saturdays.
Before
40 phone and message orders at 6 minutes each (4 hours a month), and about 3 unpaid boxes left uncollected
After
Orders paid online, about 1 hour a month checking orders and marking them ready, plus an assumed 10 extra orders a month from people ordering in the evening
What it's worth
About $251£189€225A$363C$355 a month, against $33£25€30A$48C$47 for Shopify Basic, or about $110£83€99A$159C$156 with card fees. That is $180£135€161A$259C$254 in profit from 10 extra boxes at $60£45€54A$86C$85 at an assumed 30% margin (10 × $60£45€54A$86C$85 = $599£450€536A$864C$846 times 0.3), plus 3 hours a month saved (4 down to 1) at an assumed $24£18€21A$35C$34 an hour, $72£54€64A$104C$102. Card fees on 50 online orders at 2% + 25p are about $77£58€69A$111C$109 (50 × $1.53£1.15€1.37A$2.21C$2.16). The 10 extra orders are an assumption to test against your own sales.
How to set it up
- Open a Shopify Basic shop and add each box as a product with its contents, weights and price.
- Turn on pickup in store for the farm shop, set the processing time, and write pickup instructions with your collection days and times.
- Put the weekly order cut-off in each box description so you know numbers before you cut meat, and set stock quantities so you can't oversell.
- Each week, make up boxes from the order list, mark each order ready for pickup so the customer gets the email, then mark it picked up.
- Link the shop from your Facebook page and Google listing, and point phone customers to it.
What goes wrong
- Shopify's pricing page doesn't say whether VAT is added, and card fees come on top: 2% + 25p online on Basic.
- Meat sold in boxes needs the same labeling and temperature control as meat over the counter; the online shop does none of that for you.
- Customers who don't collect still need a clear refund policy. Write it on the shop before the first order.
- If boxes are made from what's in the cold room that week, keep descriptions general enough to stay true.
