The problem
Paying 10 part-time tutors means collecting hours from paper registers and WhatsApp messages, adding them up and sorting out disagreements. At 20 minutes per tutor plus an hour of queries, that's 260 minutes, over 4 hours a month, and a miscounted session means paying someone wrongly.
What the AI does
TutorBird's multi-tutor page says each tutor signs in to see their own schedule, take their own attendance and write their own lesson notes, and that payroll is calculated as a flat hourly rate or a percentage of revenue, with category overrides for different session types. Its reports include payroll as a PDF or Excel spreadsheet. The same registers drive parents' invoices, so tutors' pay and families' bills come from one record.
A worked example
A tutoring center in Milton Keynes has 10 part-time tutors, many of them university students, plus one administrator. The owner adds up hours from paper registers at the end of each month.
Before
10 tutors at 20 minutes each plus 60 minutes of queries: 260 minutes, about 4.3 hours a month
After
Tutors mark their own registers; about 45 minutes a month checking the payroll report

How to set it up
- Add each tutor with their own login and only the permissions they need.
- Set each tutor's pay rule: hourly rate or percentage, with overrides for different session types.
- Ask tutors to mark attendance at the end of every session, not at the end of the month.
- Run the payroll report each month and check it against the timetable before paying.
- Pass the totals to your payroll software or accountant if tutors are employees.
What goes wrong
- TutorBird works out what tutors earn; it doesn't run PAYE. Employed tutors still need payroll through HMRC-recognized software or your accountant.
- Whether tutors are employed or self-employed is a legal question about how they work, not a setting; get advice if unsure.
- If a tutor forgets to mark a session, they're underpaid and the family isn't billed. Check unmarked sessions weekly.
- Every extra login costs $5.25£3.95€4.70A$7.58C$7.43 a month, so remove tutors who leave.
