The problem
A center where 120 families pay $200£150€179A$288C$282 a month by bank transfer spends hours matching payments to children and chasing late ones, and some families leave owing a month. At 2 minutes a payment and 15 minutes for each of 15 late payers, that's 465 minutes, about 7.75 hours, every month.
What the AI does
GoCardless collects recurring payments straight from the payer's bank account. Its pricing page lists Standard at 1% + 20p per UK transaction, capped at $5£4€5A$8C$8 with no setup costs and prices excluding VAT. Each family sets up a mandate once, the fee is collected on the same date each month, and you check the failed ones. Advanced (1.25% + 20p) adds Success+, which the page says automatically recovers failed payments; Standard doesn't. Use a family reference rather than the child's name in payment references.
A worked example
A tutoring center in Croydon teaches 120 children in small groups for $200£150€179A$288C$282 a month each. Fees arrive by bank transfer, about 15 families are late each month and about one family a month leaves owing.
Before
120 payments matched at 2 minutes and 15 late payers chased at 15 minutes: 465 minutes, about 7.75 hours
After
Collection automatic; about 60 minutes a month checking failed payments and contacting those parents
What it's worth
About $379£285€339A$547C$536 a month saved, against $271£204€243A$392C$384 to $326£245€292A$470C$461 in fees. Time saved is 6.75 hours (465 minus 60 minutes) at an assumed $27£20€24A$38C$38 an hour, about $180£135€161A$259C$254 plus about $200£150€179A$288C$282 if Direct Debit stops one family a month leaving with an unpaid month (an assumption). Cost is 120 x (1% of $200£150€179A$288C$282 = $2£1.50€1.79A$2.88C$2.82, plus 20p) = $271£204€243A$392C$384 or about $326£245€292A$470C$461 if you can't reclaim the VAT.
How to set it up
- Write your fee terms: amount, collection date, notice to leave and what happens to fees over holidays.
- Open a GoCardless account on Standard and check the fee against your monthly amount.
- Send each family a link to set up a Direct Debit, using a family reference rather than the child's name.
- Move 5 families first and check the first collection before inviting the rest.
- Each month, review failed payments and contact those parents yourself.
What goes wrong
- Standard doesn't retry failed payments automatically; Advanced does, at 1.25% + 20p, which is $2.77£2.08€2.48A$3.99C$3.91 a payment at $200£150€179A$288C$282.
- Fees are per payment, so splitting a family's fee into several payments multiplies the 20p.
- Parents can cancel a Direct Debit at their bank at any time; your terms, not the mandate, are what make notice periods stick.
- Keep children's names and details out of payment references and GoCardless notes.
