The problem
After a mock exam, the useful question is which topics each group struggled with, but marking sheets give scores per question, not per topic. If the center manager spends 4 hours after each of 2 mocks a month building that picture in a spreadsheet, that's 8 hours a month, and tutors often plan the next sessions without it.
What the AI does
Copilot in Excel analyzes workbook data, applies formulas across sheets and shows charts and summaries. The center enters question-by-question marks with a student ID number instead of a name, adds a sheet mapping each question to a topic, and asks Copilot for the average mark by topic for each group and the student IDs below a set mark on each topic. Tutors check the results against the marking sheets and plan reteaching. Copilot runs within the Microsoft 365 service boundary and doesn't use prompts to train the models, and children's names stay out of the workbook.
A worked example
An 11+ and GCSE tutoring center in Birmingham runs 2 mock exams a month for about 60 students and already pays for Microsoft 365 Business Standard. The center manager adds one Copilot Business license for the analysis.
Before
4 hours to build a topic breakdown after each of 2 mocks: 8 hours a month
After
About 1 hour each, including checking against the marking sheets: 2 hours a month
What it's worth
About $200£150€179A$288C$282 a month in center manager time saved, against $21£16€19A$31C$30 for one Copilot Business license paid yearly. 3 hours saved on each of 2 mocks is 6 hours, at an assumed $33£25€30A$48C$47 an hour.
How to set it up
- Buy one Copilot Business license for the center manager, $21.41£16.10€19.16A$30.91C$30.27 a month paid yearly or $25.70£19.32€22.99A$37.09C$36.32 monthly, excluding VAT, on top of the existing Microsoft 365 plan.
- Enter marks question by question against a student ID number, never a name, and keep the ID list separately in the center's own system.
- Add a sheet that maps each question to its topic.
- Ask Copilot for the average mark by topic for each group and the student IDs below your threshold on each topic, with a chart.
- Check the results against the marking sheets, then share the topic list with tutors to plan the next sessions.
What goes wrong
- If the question-to-topic map is wrong, every result is wrong. Check the map before each mock.
- Copilot can group or average wrongly. Spot-check a few students' totals against the marking sheets.
- Children's results are personal data. Use ID numbers, keep the workbook in the center's Microsoft 365 and never in a personal account.
- Whether free Copilot Chat works inside Excel depends on licensing; analysis in the workbook needs the Copilot license, charged per user.
