The problem
New inquiries come in by Facebook message and text at 10pm, and each takes a string of replies to agree a time, collect details and send your terms. Eight inquiries a month at 25 minutes each is 200 minutes, over 3 hours, and some families drift off before you reply.
What the AI does
My Music Staff includes a drag-and-drop website builder with online registration, lesson booking and forms you can embed on an existing website. A family fills in their details, books a first lesson in a slot you've opened and accepts your studio policies in one go, and the portal enforces your availability. If you already have a website, embed the forms there.
A worked example
A singing and piano teacher in Truro gets about 8 inquiries a month, mostly in September and January, through Facebook and text messages.
Before
8 inquiries at 25 minutes of messages: 200 minutes, about 3.3 hours a month
After
Families register and book online; about 5 minutes each to check and welcome: 40 minutes
What it's worth
About $106£80€95A$154C$150 a month of time saved, against $19£14€17A$27C$26 for My Music Staff. That's 160 minutes, about 2.7 hours, at an assumed $40£30€36A$58C$56 an hour, before counting families who'd otherwise drift off.
How to set it up
- Open a few first-lesson slots each week in your availability.
- Build a registration form: parent's details, pupil's first name and age, instrument and level, and your studio policy to accept.
- Put the form on your website, or embed it in the site you already have.
- Link to it from your Facebook page and message replies.
- Check each new registration the same day and send a short personal welcome.
What goes wrong
- Keep the form short. Health or additional needs are better discussed with the parent than typed into a web form.
- If the calendar isn't current, families book slots you've already given away.
- For teaching in your home, tell families before the first lesson who else may be in the house and where the lesson happens.
