The problem
Every canceled music lesson starts a text thread to find another time, and by the end of term nobody's sure who's owed what. Six cancellations a month at 15 minutes of messages each is 90 minutes, and a teacher who loses track gives away 2 lessons a month that weren't owed, $53£40€48A$77C$75 at $27£20€24A$38C$38 a lesson.
What the AI does
My Music Staff tracks make-up credits for missed lessons. Through the parent portal, families can book lessons based on your availability or pre-set slots, and the portal can automatically create make-up lessons from cancellations. You choose the settings and deadlines to match your studio policy, so the portal enforces how much notice earns a make-up and which slots count. You see every credit issued and used.
A worked example
A guitar and ukulele teacher in Norwich teaches 40 pupils a week and has about 6 cancellations a month, each rearranged by text.
Before
6 rearrangements at 15 minutes: 90 minutes a month, plus about 2 make-up lessons given that weren't owed
After
Parents rebook in the portal; about 18 minutes a month checking, and credits tracked
What it's worth
About $101£76€90A$146C$143 a month saved, against $19£14€17A$27C$26 for My Music Staff. That's 72 minutes (1.2 hours) at an assumed $40£30€36A$58C$56 an hour, $48£36€43A$69C$68 plus $53£40€48A$77C$75 from not giving away 2 unowed lessons at $27£20€24A$38C$38 (an assumption).
How to set it up
- Write your make-up policy: how much notice earns a credit, how long credits last and how many per term.
- Set the portal's cancellation deadlines and make-up rules to match.
- Set aside a few make-up slots each week and mark them as bookable.
- Send parents the policy and portal login at the start of term.
- Review outstanding credits at the end of each term.
What goes wrong
- If you also rebook lessons by text, the portal's credits go out of step; route all rebooking through it.
- Too few make-up slots leaves parents with credits they can't use, which causes more complaints than before.
- Change your policy only at the start of a term, with notice to families.
