The problem

Practice meetings need minutes: what was said about infection control, the new recall process or a run of complaints, and who does what next. If a practice manager writes up 4 meetings a month and each takes 90 minutes from rough notes, that's 6 hours a month, and actions get missed when the minutes go out a week late.

What the AI does

With a Microsoft 365 Copilot license, the practice manager runs each meeting as a Teams meeting with transcription on. Copilot summarizes the key points, including who spoke and what they said, and suggests action items. The manager checks the recap, removes anything that shouldn't be there, gives each action an owner and a date, and saves the minutes to the practice's compliance folder. Meetings are about the practice, not individual patients: cases are discussed without names, and transcription is paused if one has to be identified. Prompts and responses stay within the Microsoft 365 service boundary and aren't used to train the models.

A worked example

A five-surgery dental practice in Cheltenham already pays for Microsoft 365 Business Standard. The practice manager, who runs the monthly team, nurses', reception and compliance meetings, adds one Copilot Business license and holds each meeting in Teams.

Before

90 minutes to write up each of 4 meetings: 6 hours a month

After

About 30 minutes to check the recap and finish the minutes: 2 hours a month

What it's worth

About $133£100€119A$192C$188 a month in practice manager time saved, against $21£16€19A$31C$30 for one Copilot Business license paid yearly. 1 hour saved on each of 4 meetings is 4 hours, at an assumed $33£25€30A$48C$47 an hour.

How to set it up

  1. Buy one Copilot Business license for the practice manager, $21.41£16.10€19.16A$30.91C$30.27 a month paid yearly or $25.70£19.32€22.99A$37.09C$36.32 monthly, excluding VAT, on top of the existing Microsoft 365 plan.
  2. Agree a rule for meetings: no patient names or identifying details while transcription is on, and pause it if a case has to be identified.
  3. Tell staff the meeting will be transcribed and summarized, then start each meeting in Teams with transcription switched on.
  4. Afterwards, ask Copilot for the summary and action items, check them, and give each action an owner and a date.
  5. Save the checked minutes to the practice's compliance folder and share them with the team.

What goes wrong

  • If everyone sits round one laptop, Teams can't tell the voices apart, so the recap won't say who said what. Add names to the actions yourself, or have staff join from their own devices.
  • If a patient is named, the transcript holds health data. Edit or delete the transcript and recap in line with the practice's UK GDPR policy, and remind staff of the rule.
  • The free Copilot Chat included with Microsoft 365 doesn't summarize Teams meetings. That needs the Copilot license (or Teams Premium for intelligent recap).
  • A summary can soften or drop a point that matters, such as a missed decontamination check. Read the full recap before signing off the minutes.
