The problem
A complaint lands on the practice owner or manager, who has to reply carefully and on time. If you get 3 written complaints a month and each reply takes 60 minutes to draft, that's 3 hours a month, usually in the evening.
What the AI does
After you've established the facts from the records and the team, type a summary into ChatGPT, Claude or Gemini with no names, dates of birth or other identifiers. Ask for an acknowledgement and a response that follows your complaints policy, in a calm, plain tone. You then check every fact against the record, add the patient's details and sign it yourself. GDC standards expect an effective complaints procedure, and the decisions stay with you.
A worked example
A dental practice owner in Sheffield gets about 3 written complaints a month, mainly about waiting times and fees. She pastes an anonymised summary into an AI assistant and asks for a draft reply that follows the practice's complaints policy.
Before
60 minutes to draft each reply, 3 hours a month
After
About 30 minutes to check, edit and sign each reply, 1.5 hours a month
What it's worth
About 1.5 hours a month saved (30 minutes on each of 3 replies), worth around £120 if your time is worth £80 an hour.
How to set it up
- Establish the facts from the clinical record and the team first. The AI is for wording, never for deciding what happened.
- Write a short anonymised summary with no patient names, dates of birth or contact details.
- Ask the assistant to follow your complaints policy and timescales, and to keep the tone factual and courteous.
- Check every sentence against the record, then add the patient's details yourself.
- If the complaint involves clinical care or a possible claim, tell your indemnity provider before you send anything.
What goes wrong
- An AI draft can apologise in a way that admits fault, or promise outcomes you can't guarantee. Read the wording and take advice from your indemnifier on anything clinical.
- Never paste identifiable patient information or clinical notes into a consumer plan. Keep it anonymised.
- It doesn't know your complaints policy or deadlines unless you tell it. Check the dates and steps match your own procedure.
- A reply that reads as generic can make things worse. Add the specific facts and a named contact.
