The problem

When a virtual assistant brings in an associate or needs holiday cover, every client process has to be explained: how this client wants invoices raised, how that one files receipts. Explaining 6 processes a month live, at an hour each, takes 6 hours, and the associate still asks again a week later.

What the AI does

Loom records your screen and voice as you do the task, and gives you a link to share. On the Business + AI plan, Loom's pricing page lists auto titles, summaries, chapters and tasks, so each recording comes with a written summary and chapters the associate can jump between. You check the summary, keep it with the video in the client's folder, and re-record when the process changes.

A worked example

A virtual assistant in Stirling is training an associate to cover 8 clients. They record each recurring process once in Loom, about 6 a month, and keep the links in a process list per client.

Before

6 processes a month explained live at 1 hour each: 6 hours

After

6 recordings at about 20 minutes each, including checking the summary: 2 hours

What it's worth

About $160£120€143A$230C$226 a month in time saved: 4 hours (6 down to 2) at an assumed $40£30€36A$58C$56 an hour. Loom Business + AI is $24 (about $24£18€21A$35C$34) a user a month for the person who records; Loom's page suggests that is the monthly-billing price. The free Starter plan allows 25 videos of up to 5 minutes, without the AI features.

How to set it up

  1. Try Loom's free Starter plan to record two short processes and see whether your associate follows them.
  2. Move the person who records onto Business + AI for longer videos and the AI summaries.
  3. Before recording, close anything showing other clients or personal data, and use test records where you can.
  4. Check each AI summary and correct the steps before filing it with the video.
  5. Re-record a process whenever the client changes how they want it done.

What goes wrong

  • A screen recording can capture passwords, bank details or customers' data. Check what's on screen before you start.
  • Loom's AI features are listed on Business + AI only; Starter's 5-minute limit cuts many processes short.
  • Summaries can skip a step. The associate should do the task once with you watching before doing it alone.
  • Ask your client before recording their systems; some contracts forbid it.
