The problem

Retainer clients renew when they can see the value, but a list of time entries doesn't show it. Writing a short summary for each of 8 clients at month end takes about 30 minutes each, 4 hours a month, so it often doesn't happen.

What the AI does

Export each client's month of time entries from your time tracker with the task descriptions, remove any names of the client's customers or staff, and paste them into ChatGPT, Claude or Gemini. Ask for a short summary grouped by theme (inbox, diary, invoicing, projects) with the hours for each and anything the client needs to decide. You check the hours match your invoice and add one or two suggestions of your own.

A worked example

A virtual assistant in Ipswich has 8 retainer clients and tracks every task. At month end they draft each client's summary in an assistant from the time export, check it and send it with the invoice.

Before

8 summaries a month at 30 minutes each: 4 hours

After

8 summaries at about 10 minutes each to clean, draft and check: about 1.3 hours

What it's worth

About $108£81€96A$156C$152 a month in time saved: 2.7 hours (4 down to 1.3) at an assumed $40£30€36A$58C$56 an hour. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan costs up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.

How to set it up

  1. Write clear task descriptions as you track time; the summary can only be as good as the entries.
  2. Export each client's entries for the month and remove names of their customers, staff or suppliers.
  3. Ask for a short summary grouped by theme, with hours per theme and decisions needed.
  4. Check the hours against your invoice and correct anything the assistant reworded wrongly.
  5. Send it with the invoice and keep a copy for the client's renewal conversation.

What goes wrong

  • An assistant can round or recount hours. The figures in the summary must match your invoice exactly.
  • Time entries can name your client's customers or reveal confidential matters. Clean them before pasting into a consumer AI plan.
  • A summary that only lists tasks reads like a timesheet. Ask for the outcomes, then add your own judgment.
  • Some clients won't read a long report. Keep it to half a page.
