The problem

Agencies pass confidential and personal documents to freelance linguists, and corporate clients increasingly ask for proof that every linguist signed a confidentiality agreement and data processing terms. Sending PDFs, chasing signatures and filing scans for 10 linguists a month, at 20 minutes each, takes over 3 hours, and some never come back.

What the AI does

Legalesign is an e-signature service built for legal documents. You upload your standard NDA and freelancer data processing terms once as templates, send them to each new linguist (and to existing ones when terms change), and get a signed copy with an audit log. Under UK GDPR the agency is usually a processor for clients' personal data and its freelancers are sub-processors, so signed terms for each one are part of the paper trail.

A worked example

A translation agency in Cambridge works with about 60 freelance linguists and onboards around 10 a month, counting new linguists and existing ones re-signing updated terms. The office manager sends everything through Legalesign's Solo Basic plan.

Before

10 agreements a month at 20 minutes each to send, chase and file: 200 minutes

After

10 agreements at about 5 minutes each: 50 minutes, with signed copies and audit logs in one place

What it's worth

About $100£75€89A$144C$141 a month in time saved: 150 minutes, 2.5 hours, at an assumed $40£30€36A$58C$56 an hour. Legalesign Solo Basic is $13£10€12A$19C$19 a month excluding VAT, with fair use of 20 documents, which covers 10 linguists a month signing 2 documents each.

How to set it up

  1. Have your NDA and freelancer data processing terms checked by a solicitor before you turn them into templates.
  2. Sign up for Legalesign's Solo Basic plan and upload both documents as templates.
  3. Send them to every new linguist before any file is shared, and to existing linguists when the terms change.
  4. Keep a simple list of who has signed which version, and don't release work to anyone missing from it.
  5. Answer client audit requests with the signed copies and audit log.

What goes wrong

  • E-signature doesn't fix weak terms. The NDA and processor terms need to be right for UK GDPR and your client contracts.
  • Legalesign's page is inconsistent about which plans include reminders; check before relying on automatic chasing.
  • Solo Basic's fair use is 20 documents a month. A big re-signing exercise across 60 linguists needs a busier month on Solo Pro ($33£25€30A$48C$47) or pay-as-you-go at $2£1.50€1.79A$2.88C$2.82 a document.
  • Signed terms don't stop a linguist storing files carelessly. Tell them how to receive, keep and delete client files.
