The problem
Phones, bags and keys are left in cars every weekend, and owners ring the office again and again. A firm getting 30 lost property calls a month, each taking about 8 minutes to note, check with drivers and call back, spends 4 hours a month on it, and items handed in go missing again because nobody wrote them down.
What the AI does
Build a Tally form for passengers: name, contact details, date and time of the journey, pickup and drop-off, and a description of the item. Build a second short form for drivers to log what they find. Tally's free plan emails responses to you and connects to Zapier; a two-step Zap for each form adds every response as a row in one Google Sheet. The office matches losses to finds once a day and calls the owner. Put the passenger form link on your website, in booking confirmations and in your phone message.
A worked example
A 20-car firm in Blackpool gets about 30 lost property calls a month, most of them on weekend mornings. They put a Tally form on their website and in confirmation texts, and drivers log finds on their own form.
Before
30 calls a month at about 8 minutes each: 4 hours, with no single record
After
Most reports arrive by form; about 3 minutes each to match and call back: 1.5 hours
What it's worth
About $43£32€38A$61C$60 a month in office time: 2.5 hours saved at an assumed $17£13€15A$25C$24 an hour, at no cost on Tally's and Zapier's free plans, which cover about 45 reports and finds a month.
How to set it up
- Build two Tally forms: one for passengers reporting a loss, one for drivers logging a find.
- In Zapier, send both forms' responses to one Google Sheet with a status column.
- Add the passenger form link to your website, booking confirmations and phone message.
- Check the sheet each morning, match losses to finds and call the owners.
- Record when each item was collected and by whom, and set how long you keep unclaimed items.
What goes wrong
- Ask for ID, or a description only the owner would know, before handing over a phone or wallet.
- The sheet holds personal data. Keep it in a business Google account and clear old rows after a set period.
- A disconnected account stops Zapier logging with no warning. Send a test report once a month.
- Your council's license conditions may say how lost property must be handled. Check them.
