The problem
Complaints about late cars, fares or a driver's manner arrive by email and social media, and a defensive reply makes things worse. Many councils expect operators to record complaints and what was done about them. A firm handling 12 complaints a month at about 30 minutes each spends 6 hours on replies.
What the AI does
Check the facts in your dispatch record first: booking time, pickup time, fare and driver. Paste a summary into ChatGPT, Claude or Gemini with the passenger's name, phone number, addresses and the driver's name removed, and ask for a short, polite reply that explains what happened and what you'll do. Check every fact in the draft, add the names back in your own email, and log the complaint and the outcome in your complaints record. Complaints about safety, discrimination or refusing an assistance dog or a wheelchair user are handled by the manager in person, not drafted by AI.
A worked example
A 15-car firm in Bath gets about 12 complaints a month, mostly about late pickups and fares. The office manager drafts replies from anonymised summaries, checks them against the dispatch record and logs each one.
Before
About 30 minutes per reply, 12 a month: 6 hours
After
About 10 minutes per reply including checking: 2 hours
What it's worth
About $80£60€71A$115C$113 a month in time: 4 hours saved at an assumed $20£15€18A$29C$28 an hour, against free to about $27£20€24A$38C$38 a month for the assistant.
How to set it up
- Pull the booking, pickup time, fare and driver from your dispatch record before writing anything.
- Remove names, numbers and addresses, then ask the assistant for a short, polite reply with the next step.
- Check every fact and promise in the draft against the record.
- Send it from your business email and log the complaint and outcome in your complaints record.
- Pass anything about safety, discrimination or a driver's conduct to the manager to handle in person.
What goes wrong
- An assistant will happily apologize for things that didn't happen or promise refunds you haven't agreed. Check every line.
- Refusing an assistance dog or a wheelchair user can be an offense. Treat those complaints as serious and handle them personally.
- Free assistant plans may use what you paste to improve their models unless you turn that off. Keep personal details out.
