The problem
An asset finance agreement ends on a known date, and that's when the client is thinking about the next van or machine. If 4 past clients' agreements end each month and you only reach half of them in time, losing 1 repeat deal every 2 months at $1,596£1,200€1,428A$2,304C$2,256 of commission is $798£600€714A$1,152C$1,128 a month going to another broker or straight to a dealer.
What the AI does
Capsule CRM keeps each client with their agreements and end dates. When a deal completes, you add a task due 3 months before the agreement ends. On the Growth plan, workflow automations set up the series of tasks and email notifications you always follow, and AI Summaries give a summary of the last 50 activities on a contact, so you can catch up on the history before ringing someone you last spoke to three years ago. Lender paperwork and compliance records stay where they are now.
A worked example
A two-broker asset finance firm in Wakefield has about 150 past agreements on file, with about 4 ending each month. Both brokers move them into Capsule Growth with end dates and a task 3 months before each one.
Before
End dates checked now and then in a spreadsheet; about 2 of the 4 ending agreements a month contacted in time
After
Every ending agreement gets a call 3 months out, worth about 1 extra repeat deal every 2 months
What it's worth
About $399£300€357A$576C$564 a month in profit, at an assumed 50% margin on $798£600€714A$1,152C$1,128 a month of commission from 1 extra repeat deal every 2 months at $1,596£1,200€1,428A$2,304C$2,256. That is against $72£54€64A$104C$102 a month for 2 Growth users billed annually (2 x $36£27€32A$52C$51), or $90£68€81A$131C$128 billed monthly (2 x $45£34€40A$65C$64).
How to set it up
- Export past deals from your spreadsheet with client, asset, lender and agreement end date.
- Import them into Capsule during the 14-day trial and add a task 3 months before each end date.
- On Growth, set up a workflow automation for your follow-up steps, such as a call, an email and a second call.
- Before each call, read the AI summary and check anything about money or terms against your own notes.
- Each month, count how many ending agreements were contacted and how many became new deals.
What goes wrong
- Client details in the CRM are personal data under UK GDPR. Your privacy notice must cover contacting past clients, and marketing emails need a lawful basis.
- If the client is a sole trader or partnership and the new agreement is regulated credit, FCA credit broking rules apply to what you say, including how you disclose commission.
- AI summaries can leave something out or get it wrong. Read the original notes before you quote anything back to a client.
- Growth is priced per user: $36£27€32A$52C$51 a month billed annually or $45£34€40A$65C$64 monthly, each. Starter ($19£14€17A$27C$26 or $24£18€21A$35C$34) has tasks but not workflow automations or AI Summaries.
