The problem
Utility and state rebates help sell heat pumps, but each program wants its own mix of documents: the AHRI certificate, model and serial numbers, the invoice, photos and the customer's signature. When a packet goes in incomplete it comes back weeks later and the customer calls asking where their money is. If the office spends 45 minutes on each of 10 packets a month, plus 2 hours fixing returned ones, that's about 9.5 hours a month.
What the AI does
Paste the program's published rules into ChatGPT, Claude or Gemini and ask for a one-page checklist of every document, photo and signature it requires, in the order the form asks for them. For each job, paste the installed equipment details and the checklist and ask it to flag anything missing, then draft a short letter telling the customer what was submitted and when the program says to expect payment. The office checks every item against the program's own form before submitting.
A worked example
A two-truck HVAC company in Portland, Oregon installs about 10 heat pumps a month that qualify for a utility rebate. The office manager builds a checklist for each program they use and runs every packet past it before submission.
Before
About 45 minutes per packet and 2 hours a month fixing returned ones, 9.5 hours in all
After
About 25 minutes per packet and returns down to rare, about 4.5 hours a month
What it's worth
About $125£94€112A$180C$177 a month of office time saved, against free to about $20£15€18A$29C$28 a month for an assistant. That's 5 hours a month at an assumed $25£19€22A$36C$35 an hour. Customers who aren't left waiting on a returned rebate are worth more, but that isn't counted.
How to set it up
- Choose one assistant: ChatGPT, Claude and Gemini all have free plans, and paid plans for one person cost about $20£15€18A$29C$28 a month.
- Download the current rules and form for each program you use and paste them in. Ask for a checklist and save it with the date you made it.
- For each job, paste the equipment and job details, without the customer's account numbers, and ask what's missing against the checklist.
- Check every item against the program's own form and submit through the program's portal yourself.
- Re-check the program rules each quarter and rebuild the checklist when they change.
What goes wrong
- Programs change rules and run out of funds. An old checklist or an AI summary is never the final word; the program's current form is.
- Don't promise a customer a rebate amount, or advise on tax credits. Point them to the program and, for tax questions, to their tax preparer.
- Never paste utility account numbers or Social Security numbers into an assistant.
