The problem
A maintenance agreement only works if the tune-ups happen. When 400 members live in a spreadsheet, the office spends days each spring and fall phoning to book visits, and members who never got their tune-up don't renew. If booking takes the office manager 20 hours a month at $22£17€20A$32C$31 an hour, and 5 members a month lapse at renewal for lack of a reminder, that's $440£331€394A$635C$622 of time and $995£748€890A$1,436C$1,406 of agreement revenue a month.
What the AI does
Housecall Pro's recurring service plans, on the Max plan, generate the recurring jobs for each plan automatically, let members pay monthly, quarterly or yearly, and send automated service reminders to cut no-shows. Members can view, renew or upgrade their plan online, and HCP AI can draft a residential or commercial service agreement for you to edit. The office stops building the tune-up schedule by hand and spends its time on the members who don't respond.
A worked example
An illustrative example built from typical figures, not a named business.
A three-truck HVAC company in Phoenix has 6 people on the system (owner, office manager, 3 techs and an installer) and about 400 members on a $199£150€178A$287C$281-a-year agreement with a spring AC tune-up and a fall heating check. They move the members into Housecall Pro Max recurring service plans with monthly billing.
Before
20 office hours a month phoning members to book, and about 5 agreements a month lapsing unrenewed
After
Tune-up jobs created automatically with reminders; about 4 hours a month of follow-up calls and most lapses saved
What it's worth
About $850£639€761A$1,227C$1,202 a month, against $299£225€268A$432C$423 to $329£247€294A$475C$465 for Housecall Pro Max. That's 16 hours of office time saved at an assumed $22£17€20A$32C$31 an hour ($352£265€315A$508C$498), plus about $500£376€447A$722C$707 in profit from 5 renewals a month kept ($995£748€890A$1,436C$1,406 of agreements at an assumed 50% margin, since a tune-up is mostly labor). Repair work that members bring in comes on top.
How to set it up
- Choose Housecall Pro Max ($299£225€268A$432C$423 a month billed yearly, $329£247€294A$475C$465 monthly, 8 users), the plan with recurring service plans.
- Set up each agreement level with its visits, price and billing options, using HCP AI to draft the agreement wording and checking every line yourself.
- Put your contractor license number and business address on the agreement wherever your state requires it on contracts.
- Import your members, ask each one how they want reminders (text or email), and record their consent to texts before switching text reminders on, as the TCPA requires.
- Each week, call the members whose tune-up isn't booked yet; the system handles the rest.
What goes wrong
- Recurring service plans are on Max only. Basic and Essentials don't include them, so a smaller shop pays for the bigger plan.
- Max includes 8 users; each extra user is $35£26€31A$51C$49 a month.
- Generated jobs only help if techs' schedules are real. Load spring tune-ups before the first heat wave, not during it.
- Automatic monthly billing needs clear terms: how to cancel, when it renews and what's included. Some states have automatic renewal laws, so check yours.
