Proof of delivery for couriers: settle 'not received' claims

Track-POD records a signature and photos at every drop in the driver app, so a 'never arrived' claim is settled in a minute. From about $146£110€131A$211C$207 a month.

The problem

When a customer says a parcel never arrived, a courier with a paper run sheet has little to show, and often pays up to keep the account. If a three-driver courier pays out on 4 disputed drops a month at an average $60£45€54A$86C$85 that's $239£180€214A$346C$338 a month, plus about 20 minutes arguing each one.

What the AI does

Track-POD is delivery management software with a driver app. Its pricing page lists electronic proof of delivery with signature capture and photos (up to 10 a delivery on Advanced), email notifications to customers, route optimization with ETAs and a Zapier connection, on every plan. Drivers take a photo of the parcel at the door or with the person who signed, and the proof is saved against the order. When a claim comes in, you look up the drop and send the customer the record. SMS notifications cost extra on all plans.

A worked example

A same-day and multi-drop courier in Leeds with 3 drivers handles parcels and boxed goods for local businesses. Drivers fill in paper run sheets that are filed in the office.

Before

4 disputed drops a month paid out at about $60£45€54A$86C$85 each ($239£180€214A$346C$338), plus 80 minutes spent searching sheets and arguing

After

A signature or photo for each drop; 3 of the 4 claims settled from the record, and about 20 minutes a month on claims

What it's worth

About $206£155€184A$298C$291 a month saved, against about $146£110€131A$211C$207 to $177£133€158A$255C$250 for the software. Settling 3 of 4 claims from the record saves 3 x $60£45€54A$86C$85 = $180£135€161A$259C$254 and an hour less on claims is worth about $27£20€24A$38C$38 at an assumed $27£20€24A$38C$38 an hour. Advanced is $49 a driver a month billed annually, or $59 month to month, with a minimum of 3 drivers: $147 to $177, about $146£110€131A$211C$207 to $177£133€158A$255C$250.

How to set it up

  1. Start a Track-POD free trial and add your three drivers.
  2. Set what drivers must capture at each drop: a signature where someone is in, and a photo of the parcel where it is left in a safe place.
  3. Agree with each account customer what counts as proof, and put it in your terms.
  4. Run the app alongside paper sheets for a week, then drop the paper.
  5. When a claim comes in, pull the drop record and send it to the customer the same day.

What goes wrong

  • A blurry photo of a doorstep proves little. Show drivers to include the door number or the parcel label in the frame.
  • The minimum is 3 drivers, so a one-driver courier still pays for three: about $146£110€131A$211C$207 a month on annual billing.
  • Prices are in US dollars and SMS messages to customers are charged on top, so check the SMS rate before you turn texts on.
  • Photos of people's homes and signatures are personal data under UK GDPR. Tell customers you keep them, and for how long.
