The problem
Regular daily runs for a pharmacy, wholesaler or print shop are what keep a courier busy on quiet days, but writing a proper proposal takes an evening, so many never get sent. If the owner writes 2 proposals a month at 3 hours each, that's 6 hours a month at the kitchen table.
What the AI does
Write bullet notes for the run: collection and drop points, times, days, vehicle, how you handle signatures and failed drops, insurance cover, and the price you've worked out. Paste the notes, without the prospect's staff names, into ChatGPT, Claude or Gemini and ask for a one-page proposal with a short covering email, using only your notes. You check every price, time and promise against what you can actually deliver, and send it from your own email.
A worked example
A two-van courier in Norwich wants to pitch a daily 4pm run for a group of three pharmacies and a weekly run for a building supplies wholesaler. The owner has the prices worked out but hasn't written anything up.
Before
About 3 hours per proposal: 2 x 3 = 6 hours a month
After
About 1 hour per proposal to write notes, check the draft and send: 2 hours a month
What it's worth
About $133£100€119A$192C$188 a month saved, at an assumed $33£25€30A$48C$47 an hour for the 4 hours no longer spent writing (6 hours minus 2). Any contract it helps win comes on top and isn't counted. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.
How to set it up
- List the run's details: collection and drop points, days, times, vehicle, proof of delivery, failed-drop process and your price.
- Add the cover you hold, such as goods in transit and public liability, with the limits from your actual policies.
- Paste the notes into ChatGPT, Claude or Gemini and ask for a one-page proposal and a short covering email, using only what you gave it.
- Check every price, time and insurance figure against your notes and policies, and delete anything you didn't write.
- Send it from your own email and follow up by phone a week later.
What goes wrong
- An assistant can add a promise you can't keep, such as a guaranteed time or a temperature-controlled van. Remove anything not in your notes.
- Never let it state your insurance limits from memory; copy them from the policy.
- Pharmacy and lab runs can carry medicines or samples with their own handling rules. Check the customer's requirements before you quote.
- Don't paste the prospect's staff names, phone numbers or price lists from competitors into consumer AI plans.
