The problem
Coach firms rely on part-time and retired drivers for weekend private hire, and finding out who can work means ringing round. If the owner spends 3 hours a week phoning drivers about availability and holiday, that's about 13 hours a month (3 x 4.3), and some jobs get turned down because nobody answered in time.
What the AI does
RotaCloud is rota software. Its site lists staff availability patterns, shift swapping, holiday management, free mobile apps and email and push notifications. Drivers enter when they can and can't work, ask for holiday and swap shifts in the app; you see who's free before you accept a job and publish the week's shifts. Pricing is by number of employees including you.
A worked example
A 6-coach operator in Cumbria with 14 drivers, 6 of them part-time or casual, doing school contracts in the week and private hire and tours at weekends.
Before
About 3 hours a week phoning drivers about availability: about 13 hours a month
After
About 1 hour a week checking availability and approving requests in the app: about 4.3 hours a month
What it's worth
About $229£172€205A$330C$323 a month saved, against $53£40€48A$77C$75 for RotaCloud. That's about 8.6 hours (2 hours a week x 4.3) at an assumed $27£20€24A$38C$38 an hour; jobs no longer turned down aren't counted. With 14 drivers plus the owner, 15 people fall in the 11 to 20 band at $53£40€48A$77C$75 a month on Standard.
How to set it up
- Start RotaCloud's 30-day free trial and invite every driver, starting with the part-time and casual ones.
- Ask each driver to set their regular availability and book known holidays in the app.
- Set up shift templates for school runs and weekend private hire.
- Check availability before accepting a weekend booking, then publish shifts in the app.
- Keep phoning for same-day changes; use the app for everything planned.
What goes wrong
- A rota app doesn't check drivers' hours, rest periods or license entitlement. The transport manager still checks every allocation.
- Some older drivers won't use an app. Enter their availability yourself rather than lose them.
- If you use booking software with driver allocation, such as Coach Manager, check what it already covers before adding another app.
- Pricing counts everyone, including you; adding drivers can move you into the next band.
