The problem
Group organizers ring with the same questions: where exactly is the pick-up, what time does the coach leave, is food allowed on board, where does the coach park. If an operator runs 30 private hires a month and spends 20 minutes on each organizer's questions, that's 600 minutes, 10 hours a month, much of it repeated.
What the AI does
For each booking, note the pick-up points and times, destination drop-off and collection point, return time, coach size and features, luggage, food and drink rules, behavior rules and the driver's contact arrangement. Paste the notes, without passengers' names, into ChatGPT, Claude or Gemini and ask for a one-page trip sheet for the organizer, using only your notes. You check every time and place against the booking and send it with the confirmation.
A worked example
A 5-coach operator in Cornwall runs about 30 private hires a month: school trips, weddings, sports clubs and theater outings. Organizers usually ring twice before the day.
Before
About 20 minutes per booking answering organizer questions: 30 x 20 = 600 minutes, 10 hours a month
After
About 8 minutes per booking to write notes, check the sheet and send it: 240 minutes, 4 hours a month
What it's worth
About $160£120€143A$230C$226 a month saved, at an assumed $27£20€24A$38C$38 an hour for 6 hours (600 minus 240 minutes). The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.
How to set it up
- Make a standard list of trip notes: pick-ups, times, drop-off and collection points, coach features, luggage, food and drink, behavior and contact arrangements.
- Paste the notes for one booking into ChatGPT, Claude or Gemini and ask for a one-page trip sheet for the organizer, using only your notes.
- Check every time, place and rule against the booking, and delete anything the assistant added.
- Make sure the timings allow the driver's breaks; the transport manager signs off long day trips.
- Send the sheet with the booking confirmation and save it as a template for similar trips.
What goes wrong
- An assistant can change a time or invent a pick-up point. A wrong trip sheet means a coach and a group in different places.
- It doesn't know drivers' hours rules for your trip. Timings must come from your own plan, checked by the transport manager.
- Don't paste passenger names, children's details or medical needs into consumer AI plans; keep those in your booking system.
- If your booking software already sends a confirmation, attach the sheet rather than sending two different documents.
