The problem
Regular domestic clients are the backbone of a cleaning business, but they often live in a paper diary or spreadsheet that someone has to roll forward. If writing out next week's visits, checking clashes and texting reminders takes the owner 2 hours a week, that's about 8.6 hours a month (2 × 4.3), or about $286£215€256A$413C$404 at $33£25€30A$48C$47 an hour.
What the AI does
In ServiceM8, a recurring job is created once and set to re-create and schedule itself over time, so a client cleaned every other Tuesday stays in the diary without anyone retyping it. Automated emails and texts remind clients of their upcoming booking. Both are on every ServiceM8 plan, so the owner's weekly job becomes checking the week ahead rather than building it.
A worked example
A domestic cleaning business in York, the owner and one employed cleaner, has 40 regular clients: 15 weekly and 25 fortnightly, about 118 visits a month (15 × 4.3 + 25 × 2.15). They move every client into ServiceM8 Growing ($78£59€70A$113C$111 a month excluding VAT, up to 150 jobs) as a recurring job.
Before
About 2 hours a week rolling the diary forward and texting reminders
After
About 30 minutes a week, mostly moving cleans for clients on holiday
What it's worth
About $214£161€192A$309C$303 a month of the owner's time saved, from 1.5 fewer hours a week on the diary (1.5 × 4.3 = 6.45 hours at $33£25€30A$48C$47 an hour). That is against $78£59€70A$113C$111 for ServiceM8 Growing.
How to set it up
- Count your visits a month before choosing a plan: weekly clients × 4.3 plus fortnightly clients × 2.15. Each visit uses a job.
- Add each regular client as a recurring job with their day, time window, frequency and price.
- Turn on booking reminders and write them in your own words, including how to rearrange.
- Check the week ahead every Friday for bank holidays, client holidays and clashes.
- When a client stops, end their recurring job straight away so the diary doesn't fill with visits nobody wants.
What goes wrong
- ServiceM8's page says each new job card uses a job credit, and recurring jobs re-create themselves, so every visit counts towards the plan limit. 118 visits fits Growing's 150; 160 would need Premium at $158£119€142A$228C$224.
- Bank holidays and client holidays still need a human check before the reminders go out.
- Texts come out of the plan's allowance (300 a month on Growing, then 5p each). One reminder per visit is about 118 texts a month, within the allowance.
- If clients already pay by Direct Debit or standing order, changing the diary doesn't change what they pay. Keep billing in step when a client moves from weekly to fortnightly.
