The problem

After a Level 2 or Level 3 report, buyers email asking what a condition rating means, whether a crack is serious or what 'further investigation' involves. At about 10 such emails a month and 20 minutes each to answer carefully, that is 200 minutes, over 3 hours a month.

What the AI does

Paste the client's question and the relevant wording from your report into ChatGPT, Claude or Gemini, without names or the address, and ask for a short, plain-English reply that explains only what the report says. The assistant drafts; it doesn't add new findings, estimate repair costs or give opinions. You read and edit every sentence before sending, because a reply can be relied on like the report itself, and under RICS rules it is your professional advice.

A worked example

A sole surveyor in Chester gets about 10 follow-up emails a month after reports go out. They use an assistant to draft each reply from the report wording, then edit it and send it from their own email.

Before

10 replies a month at 20 minutes each: 200 minutes

After

10 replies a month at 8 minutes each to draft and check: 80 minutes

What it's worth

About $106£80€95A$154C$150 a month saved, on the free plans. That is 2 hours a month (12 minutes x 10 replies), valued at $53£40€48A$77C$75 an hour. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan costs up to about $27£20€24A$38C$38 a month for one person.

How to set it up

  1. Copy the client's question and the relevant section of your report, with names, the address and anything identifying removed.
  2. Ask ChatGPT, Claude or Gemini for a short reply that explains only what the report says, in plain English, without new opinions or costs.
  3. Read every sentence against the report and your site notes, and remove anything that goes beyond what you found.
  4. Add your own professional view where the client needs it, and send the reply from your own email.
  5. Keep the question and your reply in the job file.

What goes wrong

  • An assistant can sound confident about things you never said, such as the cause of a crack or a repair cost. Delete anything not in your report.
  • A reply is part of your advice under RICS rules and your PI insurance. Never send a draft unchecked.
  • Don't paste client names, addresses or the full report into a consumer AI plan; use only the passage you need.
