The problem
Three quotes for the same package rarely list the same things: one includes skip hire and making good, another leaves them as provisional sums. Comparing them properly takes about 2 hours a package, and at 3 packages a month that is 6 hours, with the risk that an exclusion turns into an extra later.
What the AI does
Copy the text of each quote into ChatGPT, Claude or Gemini with the company names replaced by Builder A, B and C. Ask for a table of items, quantities, prices, exclusions, provisional sums, VAT and payment terms, and a list of anything in one quote but missing from the others. The assistant only sorts what is in the quotes; it doesn't judge quality or recommend a builder. You check every figure against the original quotes and ask builders to fill the gaps before deciding.
A worked example
A developer in Norwich tenders about 3 packages a month, such as roofing, electrics and kitchens, with 3 quotes each. They use an assistant to build the comparison table, then check it against the PDFs.
Before
About 2 hours a package comparing 3 quotes by hand: 6 hours a month
After
About 1 hour a package to build the table and check it: 3 hours a month
What it's worth
About $160£120€143A$230C$226 a month saved, on the free plans. That is 3 hours a month valued at $53£40€48A$77C$75 an hour. Catching an exclusion before it becomes an extra isn't counted. The free plans can do this; a paid plan costs up to about $27£20€24A$38C$38 a month for one person.
How to set it up
- Copy the text of each quote for one package, replacing company names with Builder A, B and C.
- Ask ChatGPT, Claude or Gemini for a table of items, quantities, prices, exclusions, provisional sums, VAT and payment terms.
- Ask for a list of items that appear in one quote but not the others.
- Check every figure in the table against the original quotes.
- Send each builder the gaps and ask them to price or confirm them before you choose.
What goes wrong
- Assistants can misread numbers, especially from scanned PDFs. Check every figure against the original.
- A cheaper quote isn't always the better one. The assistant can't judge a builder's quality, insurance or track record.
- Builders' prices are commercially sensitive. Remove names and use a plan whose settings stop your chats being used for training.
