The problem
A no-show leaves a 90-minute gap at too short notice to fill. A mobile groomer also loses the drive there. If 4 dogs a month don't turn up at $67£50€60A$96C$94 a groom, that's $266£200€238A$384C$376 a month gone, plus the 10 minutes a night spent texting tomorrow's owners from a personal phone.
What the AI does
GroomSlot's reminders page describes an email two days before the appointment and a WhatsApp message one day before, with a normal text sent automatically if the WhatsApp can't be delivered. You can turn each channel on or off, set the timing and edit the wording. Each reminder includes a link where the owner can ask to reschedule, if your policy allows it. The plan includes 150 SMS and WhatsApp messages a month combined, plus unlimited email; extra message bundles start at $7£5€6A$10C$9 a month.
A worked example
A mobile groomer in Norfolk grooms about 25 dogs a week and used to text every owner the night before. About 4 a month still forgot, or weren't home when the van pulled up. With GroomSlot's reminders on, owners get an email two days ahead and a WhatsApp the day before, which works out at about 108 messages a month (25 × 4.3), inside the 150 included.
Before
About 4 no-shows a month at $67£50€60A$96C$94 plus 10 minutes a night texting reminders
After
Reminders go out on their own; if no-shows halve, 2 grooms ($133£100€119A$192C$188) a month are saved and the texting stops
What it's worth
About $176£132€157A$253C$248 a month: $80£60€71A$115C$113 in profit from 2 fewer no-shows (2 × $67£50€60A$96C$94 at an assumed 60% margin) plus about 3.6 hours saved on texting (10 minutes a night, 5 nights a week, times 4.3), worth $96£72€86A$138C$135 at $27£20€24A$38C$38 an hour. That is against $32£24€29A$46C$45 a month for GroomSlot, or about $27£20€24A$38C$38 paid yearly. Halving no-shows is an assumption, not a promise.
How to set it up
- Turn on email and WhatsApp reminders in GroomSlot and set timings that suit your day.
- Edit the wording so it sounds like you: for a salon, the address and parking; for a mobile groomer, a note to have the dog ready and space for the van.
- Check every client record has a mobile number and an email address; with no number there's no WhatsApp or text.
- Decide whether owners can ask to reschedule from the reminder link, and write that into your booking terms.
- Keep an eye on the monthly message count and add a bundle if you go past the 150 included.
What goes wrong
- The 150 messages are shared between WhatsApp and text. About 108 reminders a month fits, but a second groomer, more dogs or extra messages could push you over.
- Reminders stop forgetting, not changes of plan. Put a clear cancellation notice period on the booking page so owners see it before they book.
- Owners with no mobile number on file only get the email, which is easier to miss.
