The problem
Groomers whose terms or insurer ask for up-to-date vaccinations often keep paper certificates in a binder and check it before each groom. At 25 grooms a week and 2 minutes of searching each, that's 50 minutes a week, about 3.6 hours a month, and the expired certificate still turns up on the morning of the appointment.
What the AI does
GroomSlot's Pet Profiles page says each dog gets its own profile with coat notes, temperament, vet details, vaccination records and a photo history, and that you can store expiry dates against each pet to see who is up to date. Owners can upload certificates through the booking portal. The page doesn't say GroomSlot sends vaccination reminders, so check the dog's status when a booking comes in, which leaves the owner time to sort it out before the day. Your vaccination policy is your own business decision; questions about which vaccinations a dog needs go to the owner's vet.
A worked example
A home-based groomer in Harrogate has about 120 dogs on the books and keeps paper vaccination cards in a ring binder, because the salon's terms say vaccinations must be in date. They move every regular dog into GroomSlot, enter the expiry dates from the cards, and ask owners to upload a new certificate when they next book.
Before
About 2 minutes per groom searching the binder, 25 grooms a week, and lapsed certificates found on the day
After
Expiry dates sit on each dog's profile and owners upload new certificates themselves; checking takes seconds, not 2 minutes
What it's worth
About $96£72€86A$138C$135 a month in time saved: 2 minutes per groom on 25 grooms a week is 50 minutes, times 4.3 is about 3.6 hours, worth $96£72€86A$138C$135 at $27£20€24A$38C$38 an hour. That is against $32£24€29A$46C$45 a month for GroomSlot, or about $27£20€24A$38C$38 paid yearly, which also covers booking and reminders if you use them. The bigger gain is not discovering on the day that a dog's vaccinations have lapsed.
How to set it up
- Add each regular dog in GroomSlot with breed, coat notes, temperament and vet details.
- Enter the vaccination expiry date from each certificate you already hold, starting with dogs booked in the next month.
- Ask owners to upload a new certificate through the booking portal when they next book, and check it's the right dog and readable.
- Check the dog's vaccination status when each booking arrives, not on the morning of the groom.
- Write your vaccination policy into your terms and booking page so owners know before they book.
What goes wrong
- GroomSlot's page doesn't say it sends vaccination reminders, so the check is yours to do at booking time.
- An uploaded certificate still needs a human look: confirm the dog's name and dates before you treat it as up to date.
- Owners' names, numbers and addresses are personal data under UK GDPR. GroomSlot publishes a data processing agreement; read it, and keep only what you need.
