The problem

A person who has just been injured rings several firms and goes with the first to talk to them. If you take 40 enquiries a month and the phone tag to arrange each callback takes 6 minutes, that's 240 minutes, 4 hours a month.

What the AI does

A Calendly page lets the enquirer choose a callback time that fits your team's diary. Standard adds automations and reminders, so each booking can get a reminder. The booking form collects only name, number and a preferred time, not injury details; those are discussed on the call. You still ring at the booked time and the fee earner takes the details then.

A worked example

A PI firm in Glasgow gets about 40 web enquiries a month. They add a Calendly callback page to the site and a team member rings each at the time the enquirer picked.

Before

6 minutes of phone tag per enquiry to fix a time: 4 hours a month

After

About 2 minutes to check each booking: 1.3 hours a month

What it's worth

About 2.7 hours a month saved (4 minutes x 40 enquiries = 160 minutes), worth around £80 if staff time is worth £30 an hour. Standard is $10 (about £8) a seat a month billed yearly, or $12 (about £9) billed monthly, so about £15 to £18 for two seats. The gain from faster first contact is not counted.

How to set it up

  1. Set callback slots when your team can really ring, and show them on a Calendly page.
  2. Choose Standard, connect your calendars and turn on reminders; check the text of each before it goes out.
  3. Ask only for name, number, preferred time and a consent line. Do not ask about the accident or injuries.
  4. Put the booking link on your website and in your Google Business Profile, and keep your phone number visible.
  5. Review missed callbacks weekly, and ring any enquirer who does not answer once.

What goes wrong

  • The free plan has no reminders. This use case needs Standard.
  • Do not collect health details in a booking form. Those are special category data.
  • A missed callback is worse than none. Staff must ring at the booked time.
  • Per-seat pricing: each person with their own diary needs a seat.
