The problem
Commercial firms often keep the statutory books and filings for small company clients, and registers held in Word files and spreadsheets drift out of date. If a firm looks after 60 companies and each month prepares 5 confirmation statements at 30 minutes and 6 changes with minutes and register entries at 60 minutes, that's 510 minutes, 8.5 hours a month.
What the AI does
Inform Direct is UK company secretarial software. It keeps full online statutory registers, files confirmation statements and changes with Companies House, prepares minutes and resolutions, and sends free email reminders of key deadlines. On a subscription, filing changes is free and you can use your own presenter code. Every filing deadline is still recorded first in the firm's case diary and checked by a fee earner; Inform Direct's reminders are a second prompt. A solicitor reviews each filing before it is submitted.
A worked example
A commercial firm in Cambridge acts as company secretary for about 60 small company clients. It moves their registers to an Inform Direct subscription, keeps every confirmation statement date in its case diary, and a solicitor approves each filing.
Before
About 8.5 hours a month on confirmation statements, minutes and register updates
After
About 10 minutes per confirmation statement and 20 minutes per change: about 2.8 hours a month
What it's worth
About $452£340€405A$653C$639 a month of staff time, if it is worth $80£60€71A$115C$113 an hour: 510 minutes falls to about 170, saving 340 minutes, about 5.7 hours. A subscription for 60 companies is $13£10€12A$19C$19 for the first plus 59 x $0.92£0.69€0.82A$1.32C$1.30, about $68£51€61A$98C$96 a month excluding VAT or $81£61€73A$117C$115 with it, with unlimited users; Companies House fees are extra.
How to set it up
- Record every client company's confirmation statement and accounts dates in your case diary first, checked by a fee earner. The diary is the record.
- Start on Pay as You Go with a few companies, then move to a subscription once you manage more than 10.
- Import each company from Companies House and check the registers against your files and the client's records.
- Check your firm's position under Companies House identity verification rules before filing for clients, and set up your presenter code.
- Have a solicitor approve each filing, minute and resolution before it is submitted or signed.
- Each month, compare Inform Direct's upcoming deadlines with your case diary and chase any client who hasn't replied.
What goes wrong
- Email reminders can fail or be filtered without anyone noticing. Your case diary is the record, so check it against Inform Direct every month.
- A register is only as good as what the client tells you. Ask about share transfers and director changes at every contact.
- The pricing page says prices change on 1 January 2027, and dissolved companies still count while they stay in your portfolio. Recheck the price before you rely on it.
- Late accounts bring penalties. Agree in your engagement letter who is responsible for the accounts and who for each filing.
