The problem
Weddings, parties and corporate days are booked by message months ahead, often with no deposit, and a canceled date can't be resold at short notice. If a trader takes 6 private hires a month and spends 25 minutes on each sending bank details and chasing payment, that's 150 minutes, 2.5 hours a month, and one canceled date a quarter with no deposit loses the whole day.
What the AI does
Square Invoices has a Free plan at $0£0€0A$0C$0 a month with unlimited invoices, estimates and contracts. Square's page says you can request deposits and schedule automatic payment reminders, but doesn't say which plan each needs; milestone payment schedules are on Plus at $27£20€24A$38C$38 a month. Online card payments cost 2.5%. Send an estimate with your menu and price, then an invoice for a deposit with your booking terms attached, and the balance closer to the date. Menus and dietary needs for private hire are agreed by the owner from your recipe records, not from a template.
A worked example
A wood-fired pizza van in Norfolk takes about 6 private hires a month: weddings, birthdays and staff parties at about $1,596£1,200€1,428A$2,304C$2,256 each. It asks for a $399£300€357A$576C$564 deposit by Square invoice to confirm each date.
Before
25 minutes per booking chasing payment: 6 x 25 = 150 minutes, 2.5 hours a month, and about one canceled date a quarter with nothing paid
After
About 5 minutes per booking to send and check the invoice: 30 minutes a month, with a $399£300€357A$576C$564 deposit held on every date
What it's worth
About $186£140€167A$269C$263 a month in value, against about $60£45€54A$86C$85 in card fees: 2 hours saved (150 minus 30 = 120 minutes) at an assumed $27£20€24A$38C$38 an hour is $53£40€48A$77C$75 plus about $133£100€119A$192C$188 a month from keeping a $399£300€357A$576C$564 deposit on one canceled date a quarter, almost all profit as no food is bought. The cancellation rate is an assumption. Card fees are 2.5% x $399£300€357A$576C$564 = $9.98£7.50€8.92A$14.40C$14.10 per deposit, 6 a month is $60£45€54A$86C$85.
How to set it up
- Sign up for Square Invoices and add your private hire packages as items with prices.
- Write clear booking terms: deposit amount, when the balance is due, what happens if either side cancels, and attach them to every invoice.
- Send an estimate first, then a deposit invoice once the customer agrees, and turn on payment reminders if your plan allows.
- Agree the menu and any dietary needs with the customer yourself, from your recipe records, and confirm them in writing.
- Check each deposit has arrived before you turn down other work for that date.
What goes wrong
- A non-refundable deposit must be fair under consumer law. Keep it in proportion to what you lose and state the terms before the customer pays.
- The page doesn't say whether deposits and automatic reminders are on Free or need Plus at $27£20€24A$38C$38 a month, so check before you rely on them.
- Card fees of 2.5% apply online; on a $1,596£1,200€1,428A$2,304C$2,256 balance that's $40£30€36A$58C$56. Decide whether to take balances by bank transfer instead.
