The problem

Building the rota in a spreadsheet and sorting swaps over WhatsApp eats the owner's evenings. If a restaurant spends 3 hours a week building the rota plus 6 swaps or cover requests at 8 minutes each, that's 228 minutes a week, about 980 minutes or 16.3 hours a month (x 4.3).

What the AI does

RotaCloud is rota and scheduling software. Its site lists drag-and-drop rota planning, templates and copying tools, free mobile apps, staff availability patterns, shift swapping, holiday management, and daily, weekly and monthly labour costs on its Standard plan. Notifications go out by email and push; text notifications are an add-on. You build the rota from templates, staff see it on their phone, ask for swaps and set when they can't work, and you approve changes. It is priced by the number of employees, including you and any managers, so count everyone before you choose a band.

A worked example

A 40-cover restaurant in Norwich has 12 people on the rota across kitchen and front of house. The owner builds the week from a template, staff mark when they are unavailable, and swaps are agreed in the app.

Before

Rota build 180 minutes plus 6 swaps x 8 minutes = 228 minutes a week, about 980 minutes or 16.3 hours a month

After

Rota build 90 minutes plus 6 swaps x 2 minutes = 102 minutes a week, about 439 minutes or 7.3 hours a month

What it's worth

About 9 hours a month saved (541 minutes), worth around £180 if your time is worth £20 an hour. Standard for 11 to 20 employees is £40 a month; text notifications for that band add £8, so £48 at most. If you grow past 20 people the next band is £60. The band prices come from RotaCloud's team-size selector and are indicative; check the price for your headcount on RotaCloud's pricing page. The page gives no unit for the text notification add-on, so check that too.

How to set it up

  1. Start the 30-day free trial, which needs no payment details, and enter your staff and roles.
  2. Build your usual week as a template, then ask staff to add the days they can't work.
  3. Turn on staff shift swapping and decide that you approve every swap before it counts.
  4. Check the labour cost figures against your own wage costs for the first few weeks before relying on them.
  5. Publish the rota at the same time each week and tell staff the app is the only place it is final.

What goes wrong

  • Pricing is by employee band, including you and managers. At 21 staff Standard moves to £60 a month, so check your headcount before signing up. Check the band price for your team size on RotaCloud's pricing page before you commit.
  • The page doesn't say it checks breaks, rest periods or the hours of under-18s, so you still do that yourself.
  • Staff names, phone numbers and availability are personal data. Limit who can see contact details and remove leavers promptly.
  • Swaps can leave the wrong skills on a shift, such as nobody trained to open the kitchen. Approve each swap, don't rely on the app alone.
