The problem
Casual staff arrive at a new venue not knowing the timings, the service style, where to park or who the venue contact is. If the owner spends 40 minutes writing a briefing for each of 8 events, that's 320 minutes, about 5.3 hours a month.
What the AI does
Keep bullet notes for each event: arrival time, running order, service style, dress, parking, venue contact role and equipment. Paste them, without client or guest names, into ChatGPT, Claude or Gemini and ask for a one-page staff brief with headings, using only your notes. You check every time and instruction against the booking and send it. The allergen and dietary sheet is never written or retyped by an assistant: the head chef produces it from your recipe records and it goes out as a separate page.
A worked example
A caterer in York runs about 8 events a month with a changing team of casual staff. The owner keeps bullet notes per event and turns them into a brief the day before.
Before
40 minutes per brief: 8 x 40 = 320 minutes, about 5.3 hours a month
After
About 15 minutes per brief to draft, check and send: 120 minutes, 2 hours a month
What it's worth
About $110£83€99A$159C$156 a month saved, at an assumed $33£25€30A$48C$47 an hour for 3.3 hours (320 minus 120 = 200 minutes). The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.
How to set it up
- Keep bullet notes for each event: arrival, running order, service style, dress, parking, venue contact role and kit list.
- Paste the notes, without client or guest names, into ChatGPT, Claude or Gemini and ask for a one-page staff brief with headings, using only your notes.
- Check every time and instruction against the booking, and delete anything the assistant added.
- Attach the head chef's allergen and dietary sheet for the event, made from your recipe records, as a separate page.
- Send it the day before and go through it at the briefing before service.
What goes wrong
- An assistant can change a time or invent a detail, such as a table plan that doesn't exist. A wrong brief is worse than none.
- If an assistant retypes allergen or dietary information, a mistake can harm a guest. Keep that sheet out of it entirely.
- Don't paste client names, guest lists, dietary details or phone numbers into consumer AI plans.
- Free plans have usage limits; a month of briefs in one sitting may hit them.
