The problem
At off-site events, temperature and cleaning checks go on paper sheets that get wet, lost or filled in afterwards, yet they are the records your food safety management system depends on. If 8 events a month each need 30 minutes of collecting, copying and filing sheets, that's 240 minutes, 4 hours a month, and a missing record is hard to explain at an inspection.
What the AI does
Mitti, sold until recently as SafetyCulture, is a checklist and inspection app. Its pricing page lists a Free plan for up to 10 seats with 5 active inspection templates, tasks and issue reporting, and PDF and web reports. Build templates from the checks your own system already requires, such as Safer Food, Better Business or your HACCP plan: van loading and arrival temperatures, cooking and hot-holding temperatures, cooling, cleaning down, and allergen controls such as separate preparation and labeled dishes. Event leads complete the checklist on their phone during the event, adding a photo of the probe reading where it matters, and you review the report the next day. The app records what staff enter; it doesn't take temperatures.
A worked example
An event caterer in Kent with a head chef and up to 8 staff on an event covers about 8 events a month. Each event lead fills in an 'Event day checks' template on their phone, with photos of probe readings.
Before
30 minutes per event collecting, copying and filing paper sheets: 8 x 30 = 240 minutes, 4 hours a month
After
About 8 minutes per event to check the report and act on any issue: 64 minutes, about 1.1 hours a month
What it's worth
About $78£59€70A$113C$111 a month saved, at no cost on the Free plan. That's 2.9 hours (240 minus 64 = 176 minutes) at an assumed $27£20€24A$38C$38 an hour. The Free plan covers up to 10 seats and 5 active templates; Premium is $24 (about $24£18€21A$35C$34) a seat a month billed annually if you need more templates. Prices are shown in dollars.
How to set it up
- List the checks your food safety management system already requires at events, such as Safer Food, Better Business or your HACCP plan, and who does each one.
- Sign up for the Free plan and build up to 5 templates, such as van loading, event day and cleaning down, with a temperature field and a photo where it matters.
- Add allergen controls to the event day template: separate preparation for allergen-free dishes, labels on dishes, and staff briefed from the chef's allergen list.
- Give seats only to event leads and the head chef, and have them complete the checklist during the event, not afterwards.
- Review each event's report the next day, act on anything out of range, and export reports to your own records.
What goes wrong
- The app records what staff type. Calibrated probes and trained staff still take the readings, and a wrong reading entered is still wrong.
- The Free plan stops at 10 seats and 5 active templates, and prices are per seat in dollars. Check the cost before you add people.
- Check how long your plan keeps records and export reports regularly, as an environmental health officer may ask to see them.
- Many venues have poor signal. Test the app where you trade before you drop the paper sheets, and keep a paper backup in the van.
