The problem
Cancellation requests arrive by email, social media messages and at the desk, and some get missed. If a 300-member gym gets 15 requests a month and each takes 8 minutes to find, log and reply to, that's 120 minutes, 2 hours. A missed request means a member charged after asking to leave, and a refund and complaint.
What the AI does
Give members one Google Form for cancellation requests, with fields for name, member number, email and requested end date. Responses land in a Google Sheet. A two-step Zapier automation starts on each new row and emails the member a receipt that the request has been received. The receipt does not confirm an end date or stop any payment. A staff member checks each request against the contract, processes it in your billing system and sends the final confirmation. Your cancellation terms must be clear and the route easy to find; the Digital Markets, Competition and Consumers Act 2024 adds subscription contract rules, so ask a solicitor which apply to you and from when.
A worked example
A 300-member gym in Wolverhampton gets about 15 cancellation requests a month across email, social media and the desk. A manager checks the sheet each morning and processes the requests in the billing system.
Before
15 requests a month, 8 minutes each to find, log and reply: 120 minutes, 2 hours
After
About 4 minutes each to check the sheet row, process it and confirm: 60 minutes, 1 hour
What it's worth
About £50 a month: 1 hour saved at £15 an hour is £15, plus a missed request avoided, assuming one a month would otherwise mean refunding a £35 payment (an assumption). Zapier's Free plan allows two-step Zaps and 100 tasks a month, so 15 a month fits. This assumes free Google accounts for Forms and Sheets.
How to set it up
- Put the form link on your website, in your joining pack and at the desk, and tell staff to send anyone who asks to cancel to it.
- Build a Google Form with name, member number, email and requested end date, with responses going to a Google Sheet.
- In Zapier, start a Zap on each new sheet row and add one action: email the member a receipt that the request has been received.
- Test with a dummy request and read the email as a member would.
- Each morning, check the sheet; process every request against the contract in your billing system and send the final confirmation yourself.
What goes wrong
- Zapier can fail silently. Compare the sheet with receipts sent every week, and never let the Zap be the only record of a request.
- The receipt confirms receipt only. Don't let it imply cancellation is done; billing continues until you process it.
- Don't make cancelling harder than joining. Check notice periods, minimum terms and the new subscription rules with a solicitor.
- Zapier's Free plan checks for new rows about every 15 minutes, allows only two-step Zaps and 100 tasks a month; more steps need Pro at $19.99 (about £15) a month on annual billing.
