The problem
HMRC's guidance on GOV.UK says approved alcohol producers must complete an Alcohol Duty return by the 15th day of the month after each calendar month, and pay by the 25th, with a nil return even when no duty is due. That's 12 returns and 12 payments a year, and the January, September and October ones land in pruning and harvest. GOV.UK says a late return can bring a penalty, interest or both.
What the AI does
The return is filed in HMRC's Manage your Alcohol Duty service, and the dates go first in the vineyard's main diary, here a dedicated 'Alcohol Duty' Google Calendar with recurring events on the 15th and 25th, checked by a second person. Zapier is only the backup. Its Google Calendar 'Event Start' trigger fires a set time before an event starts, and a Gmail step emails the owner and whoever does the books 7 days ahead. 24 events a year is 24 tasks, well inside the free plan's 100 tasks a month, and it's a two-step Zap, which the free plan allows.
A worked example
A 5-hectare vineyard in Herefordshire makes its own still and sparkling wine and files a monthly Alcohol Duty return. The owner does the return; their partner does the books and VAT.
Before
12 returns and 12 payments a year remembered by one person, with harvest and pruning months the riskiest
After
Return and payment dates in a shared calendar, each with a backup email 7 days ahead to two people: 24 emails a year
What it's worth
This is a backup against a missed return or payment rather than a money saving, so no value is put on it. It costs nothing on Zapier's free plan: 12 return dates and 12 payment dates make 24 tasks a year, against an allowance of 100 tasks a month.
How to set it up
- Check HMRC's guidance on whether you need to file at all, then put the return and payment dates as recurring events in a dedicated 'Alcohol Duty' calendar.
- Have a second person check the dates against the guidance; the calendar and HMRC's service are the record, and Zapier only backs them up.
- In Zapier, use the Google Calendar 'Event Start' trigger on that calendar with a 7-day lead, and a Gmail step that emails both of you.
- Add a test event to check the email arrives, then delete it.
- On the first of each month, check the Zap is on and ran last month, and that last month's return was filed.
What goes wrong
- Automations can fail silently: a disconnected Google account or a switched-off Zap stops the emails with no warning. The monthly check is what catches it.
- Nil returns are easy to forget in quiet months, and GOV.UK says one is still required when no duty is due.
- GOV.UK says producers who made, and expect to make, 5 hectolitres of alcohol or less don't need to submit a return. Check which applies to you before setting this up.
- Zapier only knows the dates you type in. If HMRC changes the rules, the calendar won't update itself.
