The problem
Marquee crews leave a field, lawn or venue floor and come back days later to stained linings, burnt carpet, missing chairs or a host saying the crew wrecked the lawn. Without dated photos, the firm usually absorbs the cost. If one dispute a month ends with $266£200€238A$384C$376 of damage written off, that's $3,192£2,400€2,856A$4,608C$4,512 a year.
What the AI does
CompanyCam is a job photo app: photos and videos are timestamped, organized by project and can be taken offline, and photo reports can be shared with clients. Make a project for each job and have the crew lead take a set of photos at arrival (the ground, the access route, any existing damage), after the build, and at collection (linings, flooring, furniture count, the ground). When there's a dispute, send the host a photo report showing before and after.
A worked example
A marquee firm in Norfolk with one 3-person crew does about 10 builds a month. The crew lead photographs each site at arrival, after the build and at collection in CompanyCam Core on their phone.
Before
About 1 dispute a month with no evidence, around $266£200€238A$384C$376 of damage written off
After
Dated photos for every job, with 3 in 4 disputes settled in the firm's favor: about $200£150€179A$288C$282 a month recovered
What it's worth
About $200£150€179A$288C$282 a month recovered, against about $63£47€56A$90C$88 to $78£59€70A$113C$111 for CompanyCam Core. That assumes dated photos settle 3 out of 4 disputes in the firm's favor, recovering $200£150€179A$288C$282 of the $266£200€238A$384C$376 a month now written off; it's counted in full because it's money already lost, not new sales. Core is $63 (about $63£47€56A$90C$88) a month billed annually or $79 (about $78£59€70A$113C$111) monthly for one user.
How to set it up
- Start CompanyCam Core on the crew lead's phone and make a project for each job with the address.
- Agree a shot list: the access route, the ground and lawn, existing damage, the finished build, and at collection the linings, flooring and furniture count.
- Take the arrival photos before unloading, and the collection photos before anything is packed.
- Put a clause in your hire terms that the host is responsible for damage during the hire and that photos are taken at build and collection.
- When there's a dispute, share a photo report with the host showing before and after.
What goes wrong
- Photos only help if they're taken every time. The missed job is the one that ends in a dispute.
- Core is 1 user with a 2-user limit; AI features and auto-generated job reports need Crew at $119 (about $118£89€106A$171C$167) a month billed annually.
- Photos don't replace your terms. Without a damage clause and a deposit, photos just show what you can't recover.
- Photos at private homes can show people and their property. Photograph the job, not the guests, and keep them only as long as you need them.
