The problem
Eight weeks before a wedding, a band needs the first dance and whether it's played live or from the recording, any special requests to learn, the evening timings, the venue's noise limiter and load-in details. Gathering that over email and calls takes about an hour per wedding; with 6 weddings a month that's 6 hours, plus the odd request learned in the wrong key.
What the AI does
Tally is a form builder. Its free plan includes unlimited forms and submissions, conditional logic, file uploads up to 10 MB per file and the Google Sheets integration, and it stores form data in Europe. Build one wedding planning form: first dance with a choice of live or recorded, a link to the version the couple love, up to 3 special requests, evening timings, venue contact, noise limiter and load-in. Conditional logic shows only the questions that apply, and answers land in a Google Sheet you share with the band.
A worked example
A 4-piece wedding band in Cheshire plays about 6 weddings a month in season. The leader sends a Tally planning form 8 weeks before each wedding and shares the Google Sheet of answers with the band.
Before
About 60 minutes per wedding gathering details by email and calls: 6 × 60 = 360 minutes, 6 hours a month
After
About 10 minutes per wedding to send the form and check the answers: 60 minutes, 1 hour a month
What it's worth
About $166£125€149A$240C$235 a month saved, at no cost on Tally's free plan. That's 5 hours (360 minus 60 minutes) at an assumed $33£25€30A$48C$47 an hour. Larger audio uploads would need Pro at €20 (about $23£17€20A$33C$32) a month, which removes the 10 MB limit.
How to set it up
- Build the form in Tally with sections for the first dance, special requests, timings and venue details.
- Use conditional logic so a 'live' or 'recorded' first dance shows the right follow-up questions.
- Connect it to Google Sheets and share the sheet with the band.
- Send the link 8 weeks before each wedding with a deadline, so there's time to learn any requests.
- Check the answers against the contract, and confirm the noise limiter and load-in with the venue directly.
What goes wrong
- Couples sometimes ask for a song in a different key or a mash-up. Agree what's included in the price before the band starts learning.
- Tally's free plan only emails you; couples won't get a copy of their answers unless you send it or upgrade to Pro.
- Venue rules on volume and finish times override the couple's wishes. Confirm them with the venue, not just the form.
- Couples' details are personal data under UK GDPR. Share the sheet only with band members who need it, and remove each wedding after the date.
