The problem
Agencies, wedding directories, booking sites and corporate clients each want a description of the band at a different length and tone, and listings go out of date as the line-up and set list change. A band leader writing or updating about 6 of these a month, at 45 minutes each, spends 4.5 hours, and old listings still show a singer who left.
What the AI does
A general AI assistant is good at rewriting the same facts for different readers. Keep one fact sheet: line-up, instruments, packages, set lengths, genres, a sample set list, PA and lighting, areas covered and two or three real quotes from clients. Paste it into ChatGPT, Claude or Gemini with what the listing needs (word limit, audience, tone) and ask for a draft using only those facts. Then check every fact, cut anything you can't deliver, and keep client quotes word for word.
A worked example
A 5-piece function band in Brighton updates its website, two booking sites, three wedding directories and agency rosters through the year, about 6 descriptions a month. The leader keeps a fact sheet and drafts each one with an assistant.
Before
About 45 minutes per description: 6 × 45 = 270 minutes, 4.5 hours a month
After
About 15 minutes per description to paste, check and edit: 90 minutes, 1.5 hours a month
What it's worth
About $100£75€89A$144C$141 a month saved, against nothing to about $27£20€24A$38C$38 for an assistant. That's 3 hours (270 minus 90 minutes) at an assumed $33£25€30A$48C$47 an hour. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.
How to set it up
- Write a one-page fact sheet with your line-up, packages, set lengths, genres, kit, areas and real client quotes.
- For each listing, note the word limit, who reads it (couples, agencies or office managers) and the tone.
- Paste the fact sheet and those notes into ChatGPT, Claude or Gemini and ask for a draft.
- Check every fact against the fact sheet, then read it aloud and cut anything that sounds like every other band.
- Update the fact sheet whenever the line-up or packages change, and refresh the listings from it.
What goes wrong
- An assistant likes superlatives and may invent credits, such as festivals you've never played. Delete anything that isn't true; misleading claims are covered by consumer law.
- Never let it rewrite client reviews. Quote them word for word with permission, or not at all.
- Booking sites have their own rules on contact details and links in descriptions; check before pasting.
